The role being offered is for a Medical Receptionist who will be an essential part of the front-office team. This full-time position, typically Monday through Friday with occasional Saturday mornings, demands strong communication skills, attention to detail, and the ability to multitask in a dynamic healthcare setting. The Medical Receptionist will serve as the initial point of contact for patients, ensuring a warm and professional welcome while facilitating smooth patient flow throughout the clinic. Responsibilities include answering phone calls with courtesy and professionalism, managing appointment scheduling both in person and remotely, verifying insurance coverage, and processing payments accurately.
In addition to administrative support, this role requires maintaining and updating patient records, managing office supply inventory, and supporting clinical staff with patient-related correspondence and follow-ups. Working closely with Medical Assistants and other clinical personnel, the Medical Receptionist helps streamline daily operations to enhance provider efficiency and patient satisfaction. Knowledge of electronic medical record (EMR) systems, particularly ECW, is necessary to perform tasks including data entry, scanning, and scheduling management.

Job Requirements
- High school diploma or equivalent
- 2+ years of experience as a medical receptionist or in a related administrative role
- proficiency with electronic medical record (EMR) systems, preferably ECW
- strong customer service and communication skills
- ability to multitask and prioritize in a fast-paced environment
- knowledge of medical insurance verification and billing procedures
- ability to maintain patient confidentiality and privacy
- basic computer literacy including scheduling software and office applications
- ability to handle sensitive and confidential information professionally
- willingness to work full-time, Monday through Friday with occasional Saturday mornings
- ability to comply with health and safety requirements, including TB testing and annual flu vaccination
- physical ability to perform prolonged sitting, standing, walking and occasional lifting up to 20 pounds

Job Duties
- Answer incoming calls with professionalism, courtesy, and consistent phone etiquette
- maintain knowledge of insurance plans, terminology, and verification processes
- provide exceptional customer service while greeting, checking in, and assisting patients
- assist Medical Assistants with patient-related phone calls and follow-up tasks
- schedule appointments in person, via phone, or email while optimizing provider time and patient satisfaction
- maintain and update patient accounts, including personal and financial information
- record and collect payments
- process third-party claims
- and follow revenue procedures accurately
- ensure confidentiality and protection of all patient information
- follow established policies and procedures and alert leadership to needed changes
- maintain a clean, welcoming, and calming reception area to reduce patient anxiety
- support team operations and contribute to collective goals
- monitor office supply levels, anticipate needs, and place orders as required
- keep reception and waiting areas cleaned, organized, and patient-ready
- manage daily schedule accuracy, including scrubbing the schedule, monitoring the wait list, and maintaining follow-up lists
- enter insurance data with accuracy and without errors
- call and document communication with patients who cancel or no-show
- verify patient insurance coverage with accuracy
- balance and close out collections at end of day
- use EMR systems, including ECW
- perform scanning, data entry, and spreadsheet tracking
