The Medical Receptionist position at IHA is a vital role serving as the first point of contact for patients and external customers. This full-time clerical role is based in a primary care setting and functions at the nexus between patients, medical staff, and administrative teams. The Medical Receptionist is responsible for greeting patients courteously, assisting them with necessary services, verifying insurance eligibility, managing patient intake processes, and facilitating smooth patient flow throughout the office. This includes scheduling and confirming appointments, collecting payments, filing medical records, and communicating effectively with both patients and the healthcare team. The role requires an individual with excellent organizational skills, strong communication abilities, and a service-oriented mindset who can work collaboratively in a dynamic healthcare environment.
In addition to standard responsibilities, Medical Receptionists working with refugee populations play a particularly critical role in providing language support and coordinating translation services to ensure effective communication and seamless access to healthcare. Job Requirements
- High school diploma or GED or valid work permit for ages 15-17
- understanding of insurance verification
- excellent communication skills including phone etiquette
- proficiency in patient care procedures and organizational policies

- proficient with desktop and Windows-based computer systems including EMR and Microsoft Office
- ability to perform mathematical calculations

Job Qualifications
- High school diploma or GED or valid work permit for ages 15-17
- 1-2 years of experience in medical or physician office or customer service preferred
- coursework in insurance, billing or medical practice education preferred
- excellent written, verbal and face-to-face communication skills including proper phone etiquette
- proficient with patient care procedures and organizational policies
- service-oriented and responsive to customer needs
- proficient in Microsoft Word, Excel, Outlook, electronic medical records, and computer navigation
- knowledge of medical terminology
- good organizational and time management skills
- ability to work collaboratively in a team environment
- ability to maintain patient and organizational confidentiality in compliance with HIPAA guidelines
Job Duties
- Greets individuals arriving at the office courteously and ensures their needs are met
- obtains necessary patient registration information and verifies patient insurance eligibility
- prepares charts for visits and notifies clinical staff of patient arrival
- completes patient forms accurately and collects payments
- retrieves and files EMR and paper charts
- answers telephone according to etiquette guidelines and relays messages promptly
- schedules and confirms appointments based on office protocols
- assists with clinic rescheduling and contacts patients regarding overbooks
- sends new patient paperwork via MyChart or mail
- manages daily Work Queue
- may oversee daily payment and charge posting balancing
- supports overdue report management and patient outreach
- maintains neat work area and waiting room
- supports other offices and attends meetings and training
- performs other duties as assigned
