The role of Medical Receptionist within the Pediatrics team at ProHealth Physicians is an integral position designed to support daily operations and patient interactions effectively. This full-time position, requiring 40 hours per week from Monday through Friday plus rotating Saturdays approximately once every five weeks, offers the opportunity to engage directly with patients and families in a pediatric care setting. Operating between the business hours of 7:45 am and 7:15 pm on weekdays and 8 am to 1:30 pm on Saturdays, the Medical Receptionist will split time across two locations—1110 Durham Road, Madison, CT, and 162 East Main Street, Clinton, CT—with Saturday rotations exclusively at the Madison office.
Serving as the primary point of contact, the Medical Receptionist facilitates the check-in and check-out processes, answers incoming calls, manages appointment scheduling, and performs payment collection. The position demands proficient use of the electronic health record (EHR) system in line with ProHealth’s protocols to maintain accurate patient demographic and medical information. This role also includes managing administrative tasks such as document scanning, balancing payments, preparing deposits, and maintaining confidentiality of sensitive patient data. Additionally, flexibility to provide cover at other ProHealth locations is required, reflecting the dynamic and collaborative nature of the work environment.

Job Requirements
- High school diploma/GED or higher
- 1 years of receptionist or customer service experience
- intermediate level of computer proficiency in Microsoft Office
- access to reliable transportation and valid US driver's license

Job Duties
- Conduct check-in and check-out process
- answer incoming calls and use EHR to document details of patient inquiries
- conduct outreach to patients requiring appointments or service follow-up
- schedule appointments using standard scheduling protocols
- manage administrative in-basket pools and work queues
- scan documents into the EHR per standard protocols
- balance payments and prepare deposits
- protect patients' rights by maintaining confidentiality of medical, personal and financial information
- provide coverage at other ProHealth locations on an ad hoc basis
- perform other duties as assigned
