The role of Medical Receptionist is critical in this mission, serving as the frontline ambassador to patients and their families in a friendly, welcoming, and professional manner. Based at the Almouie Victoria location, this full-time position operates Monday through Friday from 8 am to 5 pm, with rotating Saturdays, providing a consistent and supportive presence for families visiting the clinic. The position offers a $1,000 sign-on bonus, underscoring the organization's commitment to attracting skilled and dedicated team members.
As a Medical Receptionist, the individual will perform vital duties including greeting patients and visitors upon arrival, updating patient information, verifying insurance details, and collecting payments. Patient check-in and check-out responsibilities include managing essential documentation such as consents and health questionnaires, providing visit summaries, referral details, and scheduling follow-up appointments. This role also involves handling patient insurance verification via Batch Eligibility or on-demand processes and communicating with patients regarding insurance issues or primary care physician appropriateness.
The Medical Receptionist plays a key role in maintaining accurate records by posting patient charges and payments, reconciling accounts, and scanning and uploading documents through the Document Management system. Managing mail and courier documents, maintaining a clean and organized waiting and work area, and participating in staff meetings are also important. This position requires strong interpersonal skills to interact effectively with patients, providers, and staff, coupled with a professional demeanor and excellent communication abilities.
Candidates should be adept at utilizing computer systems and office equipment, such as scanners and fax machines. Knowledge of medical terminology and pediatric office protocols is desired but not mandatory, as training will be provided. This role involves a combination of in-office and occasional remote or telework environments, with some travel to different office locations as needed, accompanied by company policy reimbursement. Physical demands such as sitting, standing, lifting up to 10 pounds, and wearing personal protective equipment are part of the daily routine.

Job Requirements
- Active and valid driver's license upon hire and for duration of employment
- Ability to file alpha and numerically
- Ability to wear personal protective equipment (PPE)
- Ability to sit, stand, lift or carry 10 lbs or less
- Ability to reach outward and above shoulder
- Good vision, sense of sound, touch, and smell
- Ability to adhere to organizational information security policies and protect sensitive information including ePHI and PHI
- Willingness to work patient-facing, indoor environments
- Ability to travel 15-20% to other office locations as needed per company policy
Job Qualifications
- Minimum of 1 year experience in a medical office setting preferred
- Ability to learn and practice Pediatric Associate procedures, policies, and protocols
- Proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff in written documents
- Ability to read, comprehend, follow oral and written instructions
- Knowledge of computer and medical terminology desired
- Ability to interact effectively, support staff, and maintain a professional working relationship
- Excellent customer service skills
- Maintain professional and excellent phone skills and etiquette, able to speak clearly and concisely
- Use good judgment and maintain patient confidentiality
- Experience using computer systems, scanner, printer, fax
Job Duties
- Check in patients upon arrival, which includes updating demographics, insurance information, PCP, pharmacy, collecting co-pays and patient balances, and providing consents for signature as well as appropriate health questionnaires
- Check out patients, collect additional balances, provide visit summaries, specialist referral information, patient portal information, completed forms, and follow-up appointments
- Verify patient insurance through Batch Eligibility or on demand, contact patients whose insurance is not active or PCP is not appropriate
- Post-patient charges and payments, complete charge and payment reconciliation
- Scan and upload documents through the Document Management system
- Sort and deliver mail and PA documents received by courier, maintain a clean work area and patient waiting area
- Participate in staff and educational meetings
