The current opportunity is for a Medical Receptionist at the Marianna, Florida location, working Monday through Friday from 8:00 am to 5:00 pm. This role is critical in supporting the smooth operation of the pediatric practice and enhancing the patient experience from arrival through to departure. The Medical Receptionist serves as the first point of contact for patients and visitors, embodying a friendly and welcoming attitude that reflects the caring mission of Pediatric Associates. They are responsible for checking in patients, verifying and updating demographic and insurance information, collecting copayments and balances, and assisting with necessary consent forms and health questionnaires. In addition, this role involves checking out patients by collecting any outstanding balances, providing summaries of visits, referrals, and follow-up appointment details. Accurate verification of insurance, posting of charges and payments, document management, and maintaining a professional reception area are also key elements of the position.
This role demands strong interpersonal skills, attention to detail, and the ability to work collaboratively in a busy, patient-facing medical environment. Job Requirements
- High school diploma or equivalent
- Minimum of 1 year experience in a medical office setting preferred
- Active and valid driver's license required upon hire and during employment
- Ability to learn and follow Pediatric Associates procedures, policies, and protocols
- Proficient verbal and written communication skills
- Ability to read and follow oral and written instructions
- Knowledge of computer systems and medical terminology desired
- Ability to maintain confidentiality and use good judgment
- Ability to maintain a professional demeanor and excellent customer service skills
- Ability to operate office equipment including computers, scanners, and fax machines
- Ability to stand and sit for extended periods
- Ability to lift or carry items up to 10 lbs
- Willingness to comply with PPE requirements
- Ability to travel 15%-20% to other office locations as needed
Job Qualifications
- Minimum of 1 year experience in a medical office setting preferred
- Ability to learn and practice Pediatric Associate procedures, policies, and protocols
- Proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff
- Ability to read, comprehend, and follow oral and written instructions
- Knowledge of computer and medical terminology desired
- Ability to interact effectively, support staff, and maintain professional working relationships
- Excellent customer service skills with professional and friendly patient/visitor greeting
- Maintain professional phone skills and etiquette
- Use good judgment and maintain patient confidentiality
- Ability to file alpha and numerically
- Experience using computer systems, scanners, printers, and fax machines
Job Duties
- Check in patients upon arrival including updating demographics, insurance information, PCP, pharmacy, collect co-pays and patient balances, provide consents for signature and health questionnaires
- Check out patients, collect additional balances, provide visit summary, specialist referral, patient portal, completed forms, and follow-up appointments
- Verify patient insurance through Batch Eligibility or on demand, contact patients if insurance is not active or PCP is not appropriate
- Post patient charges and payments, complete charge and payment reconciliation
- Scan and upload documents through the Document Management system
- Sort and deliver mail and PA documents received by courier, maintain a clean work area and patient waiting area
- Participate in staff and educational meetings
