Pediatric Associates is currently seeking a part-time Medical Receptionist with a zeal for pediatric care to join their Hialeah location. This role offers a Monday through Friday schedule from 7:30am to 12:30pm, plus every other Saturday from 7:30am to 11:30am, ideal for individuals looking to make a meaningful impact while maintaining work-life balance. The Medical Receptionist plays a key role in the patient experience by serving as the initial point of contact for patients and visitors. This position is vital in upholding the warm, welcoming, and professional atmosphere that Pediatric Associates is known for. The Medical Receptionist will greet patients and visitors, ensuring that their arrival process is smooth and efficient, updating demographic and insurance information, collecting payments, and providing essential documents such as consents and health questionnaires.

Critical duties include checking patients in and out, handling co-pays and outstanding balances, verifying insurance eligibility, and assisting with follow-up appointment scheduling. The role also involves scanning and uploading documents into the designated Document Management system, sorting and delivering mail, maintaining cleanliness in the patient waiting area, and actively participating in staff and educational meetings. This role requires a professional demeanor with excellent verbal and written communication skills to interact effectively with patients, providers, and staff members. Pediatric Associates seeks individuals who can demonstrate excellent customer service skills, maintain patient confidentiality, and navigate computer systems and office equipment proficiently.

The position allows some variety and flexibility, with occasional rotations between office and telework environments and travel between designated office locations for up to 15-20% of the time, with reimbursement policies in place. The physical demands of the role include the ability to stand and sit for extended periods, lift or carry objects weighing 10 pounds or less, and perform tasks requiring manual dexterity. The Medical Receptionist will also be expected to use sound judgment in handling confidential information and maintain adherence to the organization's information security policies relating to Protected Health Information (PHI).

Job Requirements

  • High school diploma or equivalent
  • Minimum of 1 year experience in a medical office setting preferred
  • Active and valid driver’s license upon hire and for the duration of employment
  • Ability to learn and practice Pediatric Associates procedures, policies, and protocols
  • Proficient grammar, spelling, and verbal communication skills
  • Ability to read, comprehend, and follow oral and written instructions
  • Knowledge of computer and medical terminology desired
  • Ability to interact effectively and support staff
  • Provide excellent customer service and greet patients and visitors professionally and friendly
  • Maintain professional phone skills and etiquette
  • Use good judgment and maintain patient confidentiality
  • Ability to file alpha and numerically
  • Experience using computer system, scanner, printer, fax etc
  • Must be able to stand and sit for extended periods
  • Ability to lift or carry up to 10 pounds
  • Ability to use personal protective equipment
  • Willingness to travel 15-20% to other office locations as needed

Job Duties

  • Check in patients upon arrival including updating demographics, insurance information, PCP, pharmacy, collect co-pays and patient balances, provide consents for signature and appropriate health questionnaires
  • Check out patients, collect additional balances, provide visit summary, specialist referral information, patient portal information, completed forms, and follow-up appointments
  • Verify patient insurance through Batch Eligibility or on demand
  • Contact patients whose insurance is not active or PCP is not appropriate
  • Post-patient charges and payments, complete charge and payment reconciliation
  • Scan and upload documents through the Document Management system
  • Sort and deliver mail and PA documents received by courier
  • Maintain a clean work area and patient waiting area
  • Participate in staff and educational meetings
