The FSU College of Medicine, in collaboration with the Florida Medical Practice Plan, operates FSU Health Precision Pediatrics at the Institute for Pediatric Rare Diseases (IPRD), located in Tallahassee, FL. This facility specializes in providing comprehensive pediatric care with a focus on rare diseases, serving as a vital resource for children and families needing specialized medical attention. We are currently seeking a dependable and personable Scheduling Coordinator to join the team at FSU Health Precision Pediatrics at IPRD. This role is essential in ensuring smooth operations within the clinic by managing patient appointment scheduling and serving as the first point of contact for patients either by phone or in person. The ideal candidate will prioritize patient accessibility to healthcare providers by efficiently managing appointment logistics using established protocols and computerized systems.
As the Scheduling Coordinator, you will be responsible for answering phone calls, scheduling patient appointments for multiple clinics within the Florida Medical Practice Plan, and managing waitlists to optimize clinic flow. You will play a critical role in verifying patient insurance eligibility, registering patients in the Electronic Medical Record (EMR) system, and providing clear, supportive communication to patients about available healthcare services. Additionally, your duties will include assisting patients with questions related to fees, insurance, immunizations, and directing them to appropriate departments or specialty clinics as needed.
The position also encompasses handling patient check-ins and check-outs with professionalism and efficiency, ensuring the accuracy of insurance information, collecting payments, and balancing financial transactions accurately. The role demands a knowledge of billing and accounts receivable functions as well as adherence to cash handling policies, guaranteeing integrity in all financial dealings.
Beyond administrative responsibilities, the Scheduling Coordinator supports the clinic's goals by participating in departmental meetings, training sessions, and by maintaining confidentiality and compliance with healthcare regulations. Flexibility to assist across various clinic areas is valued to promote teamwork and comprehensive patient support.
This position requires a high school diploma or equivalent with a minimum of two years of relevant experience or an equivalent combination of education and experience. The role requires a valid Florida or Georgia driver’s license at the time of hire, and successful completion of health screenings including recent PPD testing, physical exam, and immunizations is mandatory prior to starting. While not required, the ability to take patient vital signs is considered a preferred qualification.

Job Requirements
- High school diploma or equivalent
- Minimum of two years of experience in a related field

- Documentation of current PPD test with negative results within past six months
- Documentation of physical examination within past six months
- Documentation of Tetanus immunization within ten years
- Documentation of Hepatitis B vaccine or positive antibody titer
- Ability to flex to other FMPP clinics as needed
- Successful completion of criminal background check

Job Duties
- Answer phone calls from patients and schedule appointments using standard protocols
- Act as the first point of contact for patients arriving or calling to schedule appointments
- Utilize facility protocols to determine appropriate patient placement
- Screen incoming calls, answer routine questions, and forward inquiries
- Monitor and adjust patient schedules, including filling no-show appointment slots
- Verify patient insurance eligibility and register patients in the Electronic Medical Record

- Cancel and reschedule appointments in accordance with guidelines
- Initiate telephone encounters for triage nurses
- Check patients in and out while handling payments and cash transactions accurately
- Attend departmental meetings, training sessions, and maintain appointment data
- Promote teamwork and maintain confidentiality and compliance with healthcare policies
- Float to other administrative support areas as needed
