We are currently seeking a dynamic and highly organized Marketing Project & Event Specialist to join our team. This full-time position offers a competitive salary range of $80,000 to $85,000 per year. The successful candidate will play an integral role in ensuring that marketing campaigns and events are managed efficiently and executed flawlessly. As the central point of contact between marketing, sales, operations, and external vendors, this individual will be responsible for keeping projects on track, proactively addressing risks, and maintaining clear communication among stakeholders.

The Marketing Project & Event Specialist will be deeply involved in the day-to-day management of complex B2B marketing initiatives, including promotional and media campaigns, social media strategies, content development, and website updates. This role demands a professional with exceptional organizational skills, the ability to multitask effectively, and a proactive mindset to anticipate obstacles and deliver solutions. Experience in managing corporate participation in various sized events—from intimate client roundtables to large industry tradeshows and virtual events—is essential. The ideal candidate thrives in a fast-paced environment and is comfortable wearing multiple hats, providing general marketing support as necessary.

This position is well-suited for someone who enjoys building strong relationships across remote teams, coordinating seamlessly with disparate groups, and enhancing operational workflows to improve efficiency. Experience with project management tools such as Asana, Jira, or Monday.com, as well as marketing automation platforms like HubSpot, is highly desirable. Furthermore, a background in healthcare, pharmaceuticals, or other highly regulated industries is considered a significant advantage.

Job Requirements

  • 3-5 years of project management and/or marketing experience (agency or in-house)
  • Proven experience planning and executing virtual and in-person events
  • Proficiency in managing multiple, complex projects with competing priorities
  • Solid understanding of common marketing deliverables and workflows
  • Exceptional organizational skills with attention to detail
  • Exceptional verbal and written communication skills
  • Proactive mindset to anticipate obstacles and find solutions
  • Prior experience with project management tools such as Asana, Jira, Monday
  • Experience with marketing automation platforms (HubSpot preferred)
  • Team player who thrives in cross-functional environments
  • Experience with social media platforms, strategy, and content creation preferred
  • Experience in healthcare, pharma, or regulated industries preferred

Job Qualifications

  • Bachelor’s degree in marketing, communications, business administration, or a related field preferred
  • 3-5 years of project management and/or marketing experience (agency or in-house)
  • Proven experience planning and executing both virtual and in-person events, including large industry conferences and small roundtables
  • Strong knowledge of B2B marketing workflows and deliverables
  • Proficiency in project management tools such as Asana, Jira, or Monday
  • Experience with marketing automation platforms, preferably HubSpot
  • Exceptional organizational skills and attention to detail
  • Excellent verbal and written communication abilities
  • Ability to work effectively in a cross-functional and remote team environment
  • Experience with social media strategy and content creation preferred
  • Copywriting, graphic design, or video editing skills are a significant plus
  • Prior experience in healthcare, pharma, or highly regulated industries preferred

Job Duties

  • Creating and maintaining detailed project schedules and timelines for marketing campaigns and deliverables
  • Serving as the central point of contact between internal teams and external vendors
  • Flagging timeline delays and risks, and proactively working with stakeholders to adjust plans as necessary
  • Providing clear, proactive updates to stakeholders
  • running status meetings
  • and distributing project recaps
  • Identifying gaps in workflows and recommending enhancements to improve efficiency and collaboration
  • Coordinating end-to-end event logistics including vendor contracting, venue coordination, shipping, and onsite support
  • Leading pre-event promotions across digital channels to maximize awareness, engagement, and client meetings
  • Running internal team briefings and developing attendee materials to ensure a seamless presence
  • Providing onsite logistical support where needed to ensure flawless event execution (2-4 events per year)
  • Tracking leads, collecting feedback, and reporting on event performance to marketing and sales leadership
  • Supporting the tracking of project and event budgets, ensuring accuracy and alignment with forecasts
  • Vendor renewal tracking and management
  • Inventory management and fulfillment
  • Performing other duties as assigned
