The role of Marketing & Move-In Coordinator at Croasdaile Village is a critical position that supports both the marketing initiatives and the seamless transition of new residents into the community. Working closely with the Marketing and Sales Director, this full-time position operates Monday through Friday, from 8:30 am to 5:00 pm, ensuring the smooth coordination of move-in logistics and marketing activities that promote occupancy and engagement within the village. The Marketing & Move-In Coordinator is responsible for assisting future residents through every step of their move-in process, from guiding them on residence refurbishment options to managing communication with internal departments and external vendors. This role also entails preparing all necessary documentation and ensuring that residences are adequately prepared for showings or move-in days. On move-in days, the coordinator serves as the primary contact for new residents, welcoming and orienting them, providing vital support before, during, and after the move to ensure a positive transition experience.
Additionally, the role supports marketing efforts by planning and implementing event logistics, managing the community newsletter, covering responsibilities as needed for the marketing front desk, and assisting sales counselors with tours. Emphasis is placed on maintaining a welcoming and hospitality-focused environment in line with Croasdaile Village's Extraordinary Impressions promises, which include personalized greetings, courteous respect, and a professional demeanor at all times. The coordinator also uses a variety of tools, including databases, Customer Relationship Management (CRM) software like Salesforce, and Microsoft Office applications, to carry out daily tasks efficiently. Job Requirements
- High school diploma or equivalent
- Minimum of three years related administrative or marketing experience preferred
- Proficiency in Microsoft Office applications
- Experience with Salesforce or similar CRM software preferred
- Strong communication and interpersonal skills
- Ability to multitask and prioritize responsibilities
- Strong organizational skills and attention to detail
- Ability to work in a team environment
- Flexibility to work some evenings and weekends
- Must provide proof of COVID-19 vaccination or approved exemption
Job Qualifications
- Administrative degree with minimum three years related work experience or high school degree with minimum five years related work experience
- Excellent organizational and interpersonal skills with strong attention to detail
- Experience in a professional office setting or hospitality environment where excellent customer relation skills are essential
- Proficient in all Microsoft Office applications
- Proficient in Salesforce CRM or capable of quickly learning new software
- Strong written and verbal communication skills with the ability to communicate clearly with seniors via in-person, telephone, and email
- Ability to work successfully with multiple departments, residents, and staff
- Ability to multitask and take initiative
- Flexibility to work occasional evenings or weekends
- Positive and empathetic attitude with a genuine desire to assist seniors and their families
- Ability to handle confidential information with professionalism and discretion
Job Duties
- Assist and guide future residents in available selections including residence refurbishment options
- Communicate with internal stakeholders including community leadership and other departments to facilitate residency coordination
- Communicate with vendors as needed regarding refurbishments and requests for construction changes
- Prepare closing documentation and internal communication promptly and accurately
- Serve as the primary contact with future residents regarding selections, paperwork, move-in dates, and move-in details
- Develop and update community move-in resource guides, paperwork, and forms
- Ensure vacated residences are ready for showings and new resident move-in
- Be present and available on move-in day to welcome and orient new residents, providing support before and after move-in for smooth transitions
- Coordinate resident transfers within independent living when applicable
- Plan and implement all elements associated with marketing events
- Coordinate and create the marketing newsletter
- Provide coverage as backup for Marketing Associate and marketing front desk
- Assist sales counselors with tours when needed
- Perform other duties supporting the marketing department
- Staff the office as needed including evenings, weekends, and holidays
- Maintain personal work areas in a presentable manner
- Embrace Extraordinary Impressions best practices and promote a hospitality-focused environment
- Maintain a professional appearance at all times
- Utilize databases, CRM, and Excel as appropriate
