The Events Coordinator role at Whitley Penn supports multiple facets of the firm’s marketing efforts, closely working with the Chief Marketing Officer (CMO), Marketing Managers, Events Specialist, and Go-to-Market teams across various industries and service lines. This full-time position is crucial in planning, promoting, and executing a diverse spectrum of events that cater to the firm’s diverse audiences. Events managed by the coordinator range from internal staff meetings, external conferences, trade shows, webinars, continuing professional education (CPE) sessions, recruiting events, awards galas, to philanthropic and community-based occasions.
This role demands a highly organized and motivated individual capable of managing complex logistics, vendor relationships, and stakeholder communications to ensure all events run seamlessly. The Events Coordinator is responsible for executing event plans flawlessly, providing onsite support, and maintaining elevated attendee experiences whether events are in-person or virtual. Critical to this role is the ability to coordinate promotional activities across social media, email marketing, and corporate websites, driving engagement and enhancing the firm’s presence through creative content development.
Supporting the marketing team extensively, the coordinator assists in content ideation, creation, and dissemination to maximize event visibility and participation. They track and report on the performance of events and marketing campaigns, using data to inform post-event analyses and improvements. Administrative accountability such as budget tracking, ticket management, and reconciliation further underscore the role’s importance in delivering high-quality event experiences.
Candidates for this position are expected to have a bachelor’s degree in Management, Marketing, Communications, or a related field, with at least three years of event planning and management experience. Job Requirements

- 3+ years of event planning and management experience

Job Duties
- Support the execution of events and sponsorship project plans including coordination of logistics, sourcing, set-up, facilitation, and breakdown
- Project manage deliverables throughout their lifecycle ensuring flawless execution and elevated attendee experience
- Source vendors and coordinate with internal stakeholders to meet event and content needs on budget and on time
- Work with marketing and growth teams to promote events via social media, email campaigns, and company website
- Assist with content ideation, writing, interviewing, developing, and scheduling for social media channels
- Track event attendance, content performance, and overall campaign effectiveness
- Generate post-event satisfaction surveys and post-mortem meetings for feedback and improvements
- Conduct administrative duties such as event spend tracking and project management reconciliation
