The Marketing and Events Assistant role is an integral part of the firm-wide marketing and events teams. This position is designed to provide comprehensive support across a broad spectrum of event-specific duties. The Assistant plays a pivotal role in ensuring the smooth execution of events, from planning stages through to post-event follow-ups, with a primary focus on logistical support, vendor coordination, and preparation of promotional materials. The role involves acting as a liaison for RSVP responses, organizing printed materials and giveaways, and assisting with vendor research and coordination. Additionally, the Assistant handles on-site responsibilities, such as event setup, registration, and breakdown, ensuring all aspects of firm events operate seamlessly.
Beyond internal firm events, the position also encompasses providing support for outside organizations and clients utilizing the firm’s conference center. This extends the Assistant’s responsibilities to room reservations, catering coordination, audiovisual planning, walkthroughs, and day-of-event support. The role requires meticulous attention to detail in creating event collateral like agendas and evaluation forms and managing the production and distribution of printed materials in partnership with local vendors. Post-event duties such as data entry, distribution of surveys, and inventory management of promotional items are also key components.
The ideal candidate for this position is expected to have a bachelor's degree with a preference for marketing or communications majors, alongside experience in event planning and execution, preferably gained through professional services or law firm internships. Proficiency with Adobe Creative Suite and strong Microsoft Office skills are essential, as is the ability to manage multiple priorities and work efficiently under pressure. The role demands flexibility, including readiness to work overtime during event periods and the ability to travel for off-site events. Reliable transportation is a must to support event-related errands. Job Duties
- Assists with firm event execution including serving as RSVP contact for firm events
- preparing printed materials and giveaways
- assisting with vendor coordination as needed
- conducts research on potential vendors and venues including restaurants hotels caterers collecting availability quotes and information
- provides on-site support at firm events to handle setup breakdown registration logistics and other tasks as needed
- assists with event support for outside organizations and clients utilizing the law firm’s New Orleans office conference center including room reservations catering orders room setup A/V planning walkthroughs and day-of support
- assists with creating collateral pieces for firm events including event agendas evaluation forms and other event-related handouts
- coordinates with local printer for off-site printing needs including signage invitations and collateral pieces
- pulls registration updates and prints nametags tent cards check-in lists and signin sheets
- assists with post-event items including post-event surveys and attendee data entry
- maintains firm promotional item inventory and alerts the Senior Marketing & Events Coordinator of necessary reorders
- collects requests organizes and ships promotional items client gifts event supplies and printed materials
- conducts research on potential promotional items and collateral collecting quotes and information
- collects requests for select firm tickets to community sporting and other entertainment events and handles distribution of tickets and maintaining usage lists
- runs event-related errands outside of the office such as event setup picking up sponsor team packets picking up orders etc.
- assists team members with other event-related projects and duties as necessary
