Job Duties
- Manages the planning and execution of 3-4 summits a season
- Manages the logistics timeline for each program
- Manages gathering budgets and forecasts in Salesforce for each gathering
- Coordinates lodging and transportation as needed
- Travels to summits and manages onsite logistics or support as needed
- Develops and manages event related-collateral
- Manages one direct report who focuses on summits and special programs
- Inputs all costs associated with events into Salesforce and ensures all reporting is coded and accurate
- Sends recommendations internally and externally within 48 hours for concierge services
- Tracks all concierge requests
- Launches and maintains a gift guide website
- Develops and grows the strategy for World 50 concierge
- Sets up World 50 vendor relationships, attends shows at the Mart and places bulk orders
- Orders holiday gifts for World 50 vendors
- Inputs all costs associated into Salesforce and ensures all reporting is coded and accurate
- Responsible for tracking summit supply needs and coordinating with Member Services team and Member Experience pods
- Procures materials needed for all types of gatherings working closely with the Design team on branding and design
- Orders summit materials
- Keeps an inventory system of summit materials
- Helps pack and unpack pelican cases before and after each gathering as needed
- Responsible for organizing nametags with Member Experience pods
- Packs materials for virtual experiences and Concierge shipments in coordination with Member Services
