Job Requirements

  • Must successfully pass a criminal background check
  • Bachelor\'s degree or equivalent work experience
  • 1-3 years of experience with increasing levels of responsibility in the facility industry
  • 1-2 years of supervisory experience preferred
  • Proficiency in PC Windows-based Microsoft Office applications including Outlook, Excel, Word, and PowerPoint
  • Must be accessible, attentive to details and proactive
  • Ability to work nights, weekends and holidays as needed
  • Must be highly motivated and self-directed
  • Experience within facility coordination is desirable

Job Qualifications

  • Bachelor\'s degree or equivalent work experience
  • 1-3 years of experience in facility industry with increasing responsibilities
  • 1-2 years of supervisory experience preferred
  • Experience within facility coordination desirable
  • Superior communication and organizational skills
  • Highly motivated and self-directed
  • Ability to work in fast-paced environment
  • Accessible, detail-oriented and proactive
  • Proficient in Microsoft Office applications including Outlook, Excel, Word and PowerPoint
  • Ability to work nights, weekends and holidays as needed

Job Duties

  • Serve as the client\'s main point of contact for all assigned facility events
  • Collaborate with client regarding all event needs and requests including food and beverage, designated spaces and functions, ancillary and vendor services, affiliates/exhibitors and related billing
  • Develop and distribute internal documents such as staffing, cost estimates, event work orders, information sheets and post event reports/action plans
  • Develop meeting agendas for clients or vendors
  • Research, review and recommend equipment, materials, and supplies for event services
  • Coordinate outside service needs with contractors, decorators and vendors
  • Coordinate with marketing department regarding front of house marketing and social media initiatives
  • Conduct facility inspections to ensure readiness and compliance with client requirements
  • Supervise all staffing for assigned events
  • Assist with front-of-house arrangements such as opening house, late seating, clearing aisles
  • Make immediate decisions in emergency situations in conjunction with facility representatives
  • Prepare reports, correspondence and post event analyses
  • Develop institutional knowledge of facility policies and procedures
  • Serve as primary facilitator for external communications including website inquiries, emails, phone calls and voicemail
  • Monitor and assist with social media accounts to ensure consistent and timely messaging
  • Organize and maintain facility photography database
  • Follow all ASM Global training, policy and procedure requirements
  • Assist in preparation of departmental budget and estimated revenues
  • Maintain proper image and positive public relations with clients, patrons and staff
  • Manage and complete event or facility-related projects
  • Perform all other duties as assigned
