This role centers around the coordination and successful management of events, acting as a vital link between clients, staff, and various departments to ensure every event meets its intended goals. As an Event Coordinator at REV Entertainment, you will handle the complete life cycle of event management, from pre-event communication and scheduling to onsite supervision and post-event reconciliation. You will work closely with clients to identify objectives and develop tailored event implementation plans while maintaining detailed records and financial oversight for events. A key aspect of this role includes supervising staff and contracting security or staffing personnel, ensuring adherence to safety protocols and organizational policies. The role requires excellent organizational, communication, and problem-solving skills to handle multiple projects under pressure and meet stringent deadlines. Flexibility is essential, as you will occasionally work varied hours, including nights, weekends, and holidays. Additionally, this position demands proficiency with various event management software tools and an ability to create and implement standard operating procedures, contributing to a well-oiled event coordination operation. Job Requirements

  • Bachelor’s degree or equivalent experience
  • Minimum 2 years of event management experience
  • Proficiency in Microsoft Office
  • Ability to supervise staff
  • Experience with event management software
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Ability to prioritize and multitask
  • Willingness to work flexible hours, including nights, weekends and holidays

Job Qualifications

  • Bachelor’s degree from a four-year college or university in hospitality, event management, communications, business or similar major
  • Minimum 2 years of event management experience or equivalent combination of education and experience
  • Proficiency in Microsoft Office
  • CAD experience preferred
  • Ability to effectively supervise staff
  • Proficiency in event booking, venue ops, social tables and/or other departmental event management software
  • Skilled in the understanding, implementation, and creation of SOPs for event planning, execution, reconciliation, and reporting
  • Demonstrated organizational, planning and problem-solving skills
  • Demonstrated excellent written and verbal communication skills, including the ability to successfully communicate with the public, other employees, live production and communications staff, and vendors
  • Ability to prioritize multiple projects and meet deadlines
  • work effectively under pressure and/or stringent schedules
  • Ability to work with minimal supervision and to interact with all levels of staff and clients

Job Duties

  • Pre-event and onsite communication
  • Establish staff schedules, task assignments as well as equipment allocation to ensure conformance with departmental objectives and goals
  • Work closely with departments and clients groups to define event goals, objectives and specific implementation plans
  • Maintain a calendar of events and database to anticipate long-term planning and effective event management
  • Serves as a liaison and client representative to provide planning, implementation, and delivery of all assigned events at Texas Health Mansfield Stadium or other REV Entertainment projects
  • Coordinates event schedules with contracted security/staffing companies, provides guidance, and supervision during events and follows up after all events to ensure proper billing
  • Creates and maintains event files
  • creates and distributes Event Memos for all events
  • Creates and implements standard operating procedures for event coordination and communications with other departments
  • Reviews and reports financial reports relating to event expenses, payments, and general ledger allocations
  • Reviews event plans to ensure adherence to organization safety and brand policies and procedures
  • Sets expectations for guest services, building security, emergency preparation and crowd control procedures for events
  • monitors compliance and responds to concerns as needed
  • Collaborates with Director to manage event booking and diagramming software including
  • renewals, updates to diagramming templates, staff training, and industry best practices
  • Builds strong client relationships and updates guest history in order to meet their needs and encourage repeat business
  • works with the REV Entertainment Sales Department to generate new business revenue
  • Conducts facility tours for prospective clients
  • Provides general event support for public ticketed events, as needed
  • Works flexible/varied hours, including nights, weekends and holidays as scheduled
