Job Requirements
- Education in hotel management, marketing or business administration preferred
- 1-2 years experience as convention services coordinator at major hotel
- Knowledge of Delphi, Opera and Passkey preferred
- Strong problem solving skills
- Good communication skills
- Ability to multi-task and meet strict deadlines
- Ability to work with internal and external clients

- 1-2 years experience as convention services coordinator at major hotel convention
- Experience with Delphi, Opera and Passkey preferred
- Strong communication and problem solving skills
- Ability to manage group events effectively
- Ability to interact professionally with clients and hotel departments
Job Duties
- Act as primary group contact and event facilitator for program planners after contract signing with focus on groups up to 500 on peak
- Act as primary source of information regarding event for hotel operations
- Review hotel facilities and services with client
- Manage group billing process including setup, deposit collection, charge review, and balance settlement
- Work with Hotel Credit Department to collect credit applications, estimate charges, and collect deposits
- Monitor group room block progress, add or cut rooms as needed
- Manage group reservation cutoff and communicate deadlines
- Organize initial reservations and communicate group changes through departure
- Plan and coordinate pre-planning visits
- Create and distribute Meeting Event Orders for group requirements
- Order technical requirements for meeting space
- Coordinate with hotel partners for internet, telecommunications, shipping, and security
- Facilitate vendor safety and security protocols onsite
- Work with Meeting Concierge to facilitate onsite group requests and changes
- Coordinate group arrivals, departures, room drops, VIP pre-keys, restaurant and show reservations
- Communicate large group movements to hotel operations
- Create and distribute Group Resume to department heads
- Oversee VIP experience including meet and greet, room advancement, and reservations
- Build and maintain client relationships year-round
- Perform other duties as requested by Director and Executive Director of Convention Services
