Job Requirements
- High school diploma or equivalent
- Minimum of one year customer service experience
- Prior experience in wedding or event planning preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Ability to work flexible hours including weekends and evenings
- Must be able to stand or move for long periods during event days
- Proficiency with basic computer applications
- Ability to manage stressful situations calmly
- Valid driver’s license and reliable transportation preferred
- Ability to follow company policies and procedures consistently
Job Qualifications
- One or more years of experience in any service industry
- One or more years of experience in the wedding industry preferred
- Ability to manage events from start to finish while providing excellent customer service
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal abilities
- Ability to handle issues proactively and troubleshoot wedding day problems
- Capable of managing multiple projects and time effectively
- Ability to adhere to insurance, legal, health, and safety requirements
- Reliability in arriving at meetings and appointments 15 minutes early
- Passion for weddings and event coordination
- Willingness to work flexible schedules including evenings and weekends
- Familiarity with CRM or project management software preferred
- Ability to work well in a team-oriented, supportive environment
Job Duties
- Lead the planning and execution of assigned weddings from onboarding to final send-off
- Serve as the main point of contact for clients throughout their planning journey
- Manage timelines, budgets, vendor communications, and planning checklists
- Attend venue walkthroughs, tastings, and vendor meetings as needed
- Source and manage vendors, providing guidance based on local knowledge and relationships
- Design mood boards, layouts, and production schedules in collaboration with the creative team
- Lead the rehearsal and full wedding day execution, managing timeline, vendors, and any challenges
- Maintain clear, professional, and timely communication with clients and vendors
- Track planning progress in CRM/project management system
- Support team at events, meetings, and internal planning sessions
- Assist full service clients with vendor communication, contract coordination, and pricing inquiries
- Conduct research on venues, invitations, transportation, and accommodations
- Support creation of timelines, processional order, and planning logistics
- Help coordinate pre- and post-wedding events
- Onboard new clients and manage their profiles in CRM system
- Upload contracts, diagrams, and event details
- Maintain marketing materials, brochures, and templates
- Send thank-you cards to clients and vendors post-event
- Support general administrative functions and client communication
- Act as host by greeting guests and vendors and answering questions
- Direct guests and vendors throughout the day
- Set up and tear down tables, centerpieces, chairs, decor in a timely manner
- Ensure decor, signage, and essential items are in place
- Work with brides and grooms to ensure they stay on schedule
- Assist event lead by completing tasks as directed
- Introduce themselves to the couple in a friendly and excited manner
- Schedule and conduct detailed meetings and follow-ups
- Communicate with all vendors and confirm timelines
- Schedule and conduct venue walk-throughs
- Oversee rehearsals
- Manage wedding day execution
- Handle any required tasks ensuring flawless detail execution
- Work 12-15 hour days on wedding day
- Manage event day logistics entirely
- Provide exceptional customer service throughout planning and event
- Maintain professionalism and organizational excellence at all times
- Collaborate with team members in a supportive and kind environment
