Job Description
Aspen & Ivy is a distinguished wedding planning company based in Fort Collins, Colorado, known for over 15 years of delivering exceptional, stress-free wedding planning experiences. Specializing in helping couples celebrate their love stories in uniquely memorable ways, this veteran company fosters a culture of innovation and impeccable customer service. Aspen & Ivy not only supports their clients through thorough planning but also provides a comprehensive approach that guides couples comfortably and confidently through the vendor selection process. The company prides itself on professionalism, organization, and a service-oriented mindset, qualities that their team embodies in every event they manage. Joining Aspen & Ivy means becoming a part of a supportive and collaborative team that values kindness, expertise, and ongoing learning. Team members enjoy flexible schedules tailored to client needs, often meeting during evenings or weekends to accommodate clients' weekday commitments. Comprehensive training and mentorship support newcomers, ensuring they are fully prepared before the busy wedding season, with about 40 hours of training including shadowing lead planners and attending specialized sessions. Once operational, coordinators manage between 5 to 25 weddings each season, gaining opportunities to explore diverse venues across Colorado and the mountains.
The Wedding Coordinator role at Aspen & Ivy is centered on the seamless planning, managing, and execution of weddings, while consistently providing exceptional customer service. As a Wedding Coordinator, you will play a vital role as the main point of contact for couples, leading their planning journey from initial onboarding through to the final send-off. This role requires excellent communication skills, meticulous organization, and the ability to manage timelines, budgets, vendors, and detailed checklists to ensure nothing is overlooked. Coordinators attend venue walkthroughs, tastings, and vendor meetings, leveraging local knowledge to source exemplary vendors and design compelling mood boards and layouts in partnership with the creative team. They lead rehearsals and oversee the entire wedding day, addressing any challenges swiftly and efficiently to maintain a smooth operation. The position involves approximately 12 to 15+ hour wedding days, requiring stamina and preparedness, including bringing essentials like water and snacks. Coordinators also support the team through internal meetings, brainstorming sessions, and administrative tasks, especially during the training period. Additional responsibilities include assisting with vendor communication, managing contracts and pricing inquiries, conducting venue and service research, and supporting the creation of timelines and logistics for pre- and post-wedding events. On the wedding day, coordinators act as hosts, ensuring guests and vendors are guided correctly, overseeing the setup and teardown of decor, and helping the couple stay on schedule. This dynamic and rewarding role offers hands-on experience in event management, client relations, and creative collaboration within a nurturing and energetic team. The compensation for this position is $20.00 per hour, with expected work hours ranging from 5 to 15 per week. The hybrid remote work model based in Fort Collins, CO, supports flexibility and work-life balance. This opportunity is ideal for individuals passionate about weddings and event coordination who thrive in a busy, client-focused environment and value teamwork, professionalism, and continuous learning.
