Job Requirements

  • High school diploma or equivalent
  • Minimum of 2-3 years of receptionist, administrative, or customer service experience
  • Ability to supervise and schedule staff
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office
  • Familiarity with healthcare environment and HIPAA regulations beneficial
  • Availability to work day shift from 7:00 am to 3:30 pm

  • Excellent communication skills, both verbal and written
  • Proficiency in Microsoft Office Suite and familiarity with electronic health record (EHR) systems preferred
  • Professional demeanor with ability to maintain composure in a fast-paced environment

Job Duties

  • Greet and assist patients, families, visitors, and staff in a professional, courteous, and compassionate manner
  • Serve as the primary contact for front desk operations, ensuring quality customer service and timely response to inquiries
  • Supervise daily activities of reception staff, including scheduling, task assignments, and providing guidance or coaching as needed
  • Maintain the receptionist schedule to ensure consistent coverage for all shifts
  • Provide administrative support to the Admissions Department, including data entry, document preparation, filing, and phone support
  • Assist in coordinating communication between Admissions, clinical staff, and other departments as directed by the Manager of Admissions
  • Take initiative in identifying and resolving front desk operational issues, escalating matters when appropriate
  • Ensure compliance with all facility policies, procedures, HIPAA regulations, and confidentiality standards
  • Monitor and control building access by verifying the identity of all individuals before unlocking entry doors, ensuring the safety and security of staff and patients
  • May provide backup coverage for the Executive Assistant as needed, including managing calls, scheduling, and handling administrative tasks for executive team
  • Perform other duties as assigned
