Job Description
The hiring establishment is a professional organization dedicated to providing exceptional concierge and administrative support services, likely within a senior living or healthcare environment given the specific focus on Independent Living (IL) and Health Care (HC) concierge desks. This company values efficient and high-quality service to both residents and guests, ensuring seamless coordination and support that enhances the daily living experience. The company emphasizes teamwork and communication, focusing strongly on the needs of older adults or clients requiring specialized care or attention.
The role in question is a Lead Concierge or Concierge Supervisor position, responsible for managing and scheduling both IL and HC concierge desks to ensure complete coverage and superior service from Monday through Sunday, between the hours of 8 am and 8 pm. This leadership role not only entails overseeing daily shift coverage but also stepping in personally during staff callouts to maintain operational continuity. The individual will be expected to cover concierge breaks during weekdays and coordinate with security personnel for weekend coverage, demonstrating a flexible, hands-on leadership style.
In addition to scheduling, the role includes managing guest suite reservations, overseeing all aspects of booking, check-in, and check-out processes to guarantee a smooth and welcoming experience for visitors. This involves daily communication with the concierge team to ensure that all reservations are accurately recorded and updated in the live tracking system. The supervisor will also manage transportation requests and resident absence submissions, ensuring that all resident needs are addressed promptly and efficiently.
Another critical responsibility is the continual review and development of Standard Operating Procedures (SOPs) to keep the team aligned with modern technologies and streamlined processes. This role requires excellent verbal and written communication skills, strong organizational abilities, and an aptitude for problem-solving within a fast-paced and sometimes stressful environment. A high level of proficiency in Microsoft Office and related software is essential to execute the administrative components of the job effectively.
The ideal candidate will have a minimum of three years of experience in customer service or administrative support, preferably with exposure to healthcare or eldercare settings. Candidates must hold a high school diploma or an equivalent combination of education and experience, and be able to obtain an Oklahoma Notary seal, underscoring the trust and responsibility inherent in the position.
Physically, the position requires the ability to sit for extended periods with occasional walking, standing, and physical movements such as kneeling or bending. The candidate must be able to lift or push up to 25 pounds occasionally and sustain normal auditory and visual communication abilities. Overall, this is a demanding but rewarding role that combines leadership, customer service excellence, and administrative oversight to support the operational success of the concierge services in a healthcare or senior living context.
