The role of Intake Coordinator at Twin Lakes Recovery Center is pivotal to the smooth operation and welcoming atmosphere of the facility. This position is responsible for managing the initial point of contact for clients, visitors, and healthcare partners at the front desk, ensuring first impressions are positive and professional. The Intake Coordinator's duties span telephone triage, scheduling, insurance verification, and client intake assessments. They serve as the essential link between potential clients and the facility’s clinical teams, coordinating intake processes and assisting with administrative tasks in the admissions department. This role demands a keen understanding of healthcare protocols, excellent interpersonal skills, and the ability to handle sensitive situations with discretion.

In this capacity, the Intake Coordinator conducts pre-admission assessments, verifies insurance eligibility, and liaises with insurance companies to secure necessary authorizations. They interview clients and family members to ascertain admission criteria are met, carefully review treatment eligibility, and maintain detailed records of all interactions using a Customer Relationship Management (CRM) system. Additionally, the Intake Coordinator conducts referral source communication to facilitate client support and conflict resolution, ensuring that referrals and admissions are timely and accurately processed. The role also involves assessing family needs, coordinating sober escorts or interventions when necessary, and determining the appropriate professionals and resources required.

The position requires a high school diploma as a minimum educational qualification, while a bachelor’s degree in social work, psychology, counseling, or related fields is preferred. Experience in healthcare admissions, particularly within mental health or substance use disciplines, is advantageous. Candidates should demonstrate competency in client assessment, effective communication with external review organizations, and familiarity with community resources. Essential certifications include CPR and de-escalation training, with first aid certification possibly required depending on state or facility mandates. Job Duties

  • Conducts pre-admission assessments
  • Completes admission pre-certification as needed
  • Interviews client, family members and/or collateral sources to assure intake criteria are met
  • Reviews prospective admissions against approved admission criteria, policies, and procedures
  • Generates, guides, and leads independent discussions with referral sources for client support, conflict resolution and business development with other treatment and healthcare professionals
  • Responds and reacts to the needs of referred clients
  • Assesses family needs for mediation, sober escort and intervention and determines which professional resources are most appropriate to contact
  • Decides which interventionist and facility to recommend, the dates, and the travel
  • Works closely with other departments as well as external parties to ensure the timely admission of clients
  • Documents daily all activities, contacts, appointments, and events in the designated Customer Relationship Management system
  • Completes insurance verifications for all clients per CBO guidelines on all private insurance admissions
  • Screens calls from referrals and sets up transportation for admission
  • Maintains a waiting list for admissions and stays in contact with potential candidates
  • Greets and assists clients, visitors and staff at the front office
  • Oversees the traffic flow and incidents in the lobby area
