Job Description

The Event Coordinator Contractor role is an exciting opportunity for a detail-oriented and organized individual to support CBMC's ministry events and faith-based gatherings. Reporting to the Director of Organizational Development, this contractor will play a critical role in planning, coordinating, and executing a variety of ministry-related events that are essential to CBMC's mission. As a contractor, this position provides a flexible engagement with CBMC, suitable for professionals who excel in coordinating complex events such as conferences, retreats, fundraisers, or other ministry activities. The Event Coordinator will be responsible for developing event plans and timelines that align closely with ministry objectives to ensure successful event outcomes.
Key responsibilities include identifying and coordinating venues, managing vendor relationships including catering and audiovisual services, preparing comprehensive planning materials, including schedules and run-of-show documents, and supporting the seamless transition from event planning phases into actual execution alongside designated contacts. The ideal candidate will have between 2 to 5 years of experience managing events with varying sizes and complexities, with particular preference for those who have experience in vendor coordination and working in ministry or nonprofit settings, especially with volunteer-led or faith-based events.
To thrive in this position, candidates should demonstrate excellent project management skills, superior organizational abilities, and strong written and verbal communication skills. They should also be adept at problem-solving under pressure, negotiating with vendors, and managing multiple stakeholders including volunteers, staff, and ministry partners. Job Requirements
- Education and experience of 2-5 plus years in event planning
- Ability and willingness to travel up to 10 percent of the time
- Ability to communicate effectively
- Ability to operate standard technology such as laptop and phone effectively
- Collaboration with designated staff, volunteers, vendors, and ministry partners for planning and coordination
- Providing own tools and resources and being responsible for own business expenses unless otherwise agreed in writing
Job Qualifications
- 2-5 plus years of experience planning and executing events (conferences, retreats, fundraisers, corporate or ministry events)
- Experience managing events of varying size and complexity
- Vendor coordination experience (venues, catering, AV, speakers, volunteers)
- Experience with volunteer-led or faith-based events preferred for ministry or nonprofit settings
- Strong project management and organizational skills
- Excellent written and verbal communication
- Attention to detail and problem-solving under pressure
- Negotiation and vendor relationship management
