This position is full-time, operating Monday through Friday from 7:30 am to 4:30 pm. The role primarily assists with clerical and administrative duties, supporting everything from personnel records maintenance to benefit auditing and recruitment activities. The Human Resources Assistant is responsible for maintaining detailed personnel files that include key employee information such as contact details, compensation, benefits, and attendance records. Additionally, this role supports payroll processing functions and ensures compliance with company policies and legal regulations. The position also requires direct communication with employees and job applicants, providing knowledgeable explanations of company policies, benefits, and procedures.

The Human Resources Assistant plays a critical role in recruiting and staffing activities by posting job openings, reviewing applications, interviewing candidates, and verifying employment eligibility through references and background checks. The assistant compiles and prepares various reports related to personnel activities, including training documentation, performance evaluations, grievances, and classifications.

Other important functions include updating organizational charts and employee picture boards, issuing employee identification, and assisting with worker's compensation and safety programs. This role steps in during the absence of the Human Resource Manager or Director to help with payroll processing and oversee departmental functions. Moreover, the assistant provides administrative support such as managing mail, switchboard operations, and vendor coordination.

The ideal candidate for this role will have a high school diploma or GED, with an Associate's Degree preferred, and a Bachelor's degree considered a plus. Experience requirements include two to four years in a related Human Resources position. Key skills include proficiency in Microsoft Office Suite, PowerPoint, Adobe, Photoshop, ADP Payroll systems, HRIS software, and Excel. Additional desirable certifications include a valid Tennessee driver’s license, CPR/First Aid certification, and the ability to obtain a Notary license within six months.

Job Duties

  • Explain company personnel policies, benefits, and procedures to employees or job applicants
  • Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, employment verifications, training, grievances, performance evaluations, and classifications
  • Record data for each employee including addresses, weekly earnings, absences, amount of production, supervisory reports on performance, and dates of and reasons for terminations
  • Post and maintain job boards, review applications to evaluate qualifications or eligibility of applicants
  • Answer questions regarding examinations, eligibility, salaries, benefits, and other pertinent information
  • Interview job applicants to obtain and verify information used to screen and evaluate them
  • Compile and prepare reports and documents pertaining to personnel activities
  • Inform job applicants of their acceptance or rejection of employment
  • Select applicants meeting specified job requirements and refer them to hiring personnel
  • Process temporary employee timecards on a weekly basis
  • Provide assistance in administering employee benefit programs and worker's compensation plans
  • Prepare badges, passes, and identification cards, and perform other security-related duties
  • Update company organizational chart and employee picture board
  • Assist with processing the weekly payroll for hourly employees, and semi-monthly exempt in absence of Human Resource Manager or Human Resources Director
  • Assist with service vendors for vending machines
  • Handle receptionist duties including mail, switchboard, and paging in absence of receptionist
  • Oversee Human Resources Department in absence of Human Resource Manager and Director
  • Support all plant safety policies and procedures and conduct training as needed
