Job Requirements
- High school diploma or equivalent
- Previous experience in event coordination, hospitality, or travel planning is preferred
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Ability to manage multiple tasks under pressure
- Proficient in Microsoft Excel, Outlook, and Smartsheet
- Ability to maintain confidentiality and handle sensitive information
- Flexibility to work evenings and weekends during event weeks and peak periods
Job Qualifications
- Previous experience in event coordination, hospitality, or travel planning is preferred
- Strong organizational skills and keen attention to detail
- Strong communication and interpersonal skills with service first approach
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficient in Microsoft Excel, Outlook, Smartsheet
- Guest service mindset and ability to manage sensitive information with discretion
- Availability to work flexible hours, including evenings and weekends during event week and peak travel periods pre and post event
Job Duties
- Coordinates hotel room blocks, monitors pick-up reports, and manages reservation updates
- Serves as the liaison between vendors/staff and partner hotels, ensuring accurate booking details and addressing any housing-related concerns
- Tracks rooming lists, special requests, and billing information with a high level of accuracy
- Supports contract compliance by ensuring all housing policies are followed
- Provides timely updates and reports to the event and operations team
- Responds to housing inquiries via email in a courteous and professional manner
