Job Requirements

  • High school diploma or equivalent
  • Previous experience in event coordination, hospitality, or travel planning is preferred
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to manage multiple tasks under pressure
  • Proficient in Microsoft Excel, Outlook, and Smartsheet
  • Ability to maintain confidentiality and handle sensitive information
  • Flexibility to work evenings and weekends during event weeks and peak periods

Job Qualifications

  • Previous experience in event coordination, hospitality, or travel planning is preferred
  • Strong organizational skills and keen attention to detail
  • Strong communication and interpersonal skills with service first approach
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Proficient in Microsoft Excel, Outlook, Smartsheet
  • Guest service mindset and ability to manage sensitive information with discretion
  • Availability to work flexible hours, including evenings and weekends during event week and peak travel periods pre and post event

Job Duties

  • Coordinates hotel room blocks, monitors pick-up reports, and manages reservation updates
  • Serves as the liaison between vendors/staff and partner hotels, ensuring accurate booking details and addressing any housing-related concerns
  • Tracks rooming lists, special requests, and billing information with a high level of accuracy
  • Supports contract compliance by ensuring all housing policies are followed
  • Provides timely updates and reports to the event and operations team
  • Responds to housing inquiries via email in a courteous and professional manner
