Job Description
Center for Community Arts, a division of the City of Walnut Creek's Arts + Rec Department, has been a cornerstone of artistic education and community engagement for 60 years. The Special Events Assistant position is a part-time role supporting the Center for Community Arts by facilitating evening and weekend special events, art workshops, and private celebrations. This role is essential for ensuring that events proceed smoothly, providing excellent customer service, preparing event spaces, assisting instructors and patrons, and managing facility access with professionalism. The Special Events Assistant operates primarily at the Center for Community Arts locations including the Shadelands Art Center and Civic Park. This position involves opening and closing facilities, supporting teaching artists and patrons at events, and overseeing all aspects of event logistics to create a seamless experience for all involved.
In addition to general event support duties, the role includes responsibilities as a Party Captain for children's birthday parties. As a Party Captain, the assistant provides high-quality support to birthday families, ensuring celebrations are safe, well-organized, and fun-filled. Duties here include engaging with young participants in activities, maintaining the party schedule, overseeing food and dessert setup, facilitating transitions such as cake time and gift drop-off, and fully cleaning and resetting party areas post-event.
This is a non-benefitted hourly position with compensation ranging from $17 to $20 per hour, based on the candidate's skills, knowledge, and experience. Working hours vary by season and scheduled events, with required availability during evenings and weekends. The ideal candidate is someone who enjoys working with children and community members, is organized, responsible, and capable of working independently while maintaining a positive attitude and strong customer service skills. Job Requirements
- Equivalent to completion of ninth grade
- Minimum of 15 years old at time of employment
- Some experience interacting with families, children, classmates, or members of the public
- Ability to provide friendly, welcoming customer service
- Ability to set up rooms and prepare materials
- Comfortable engaging with children ages 4-12
- Ability to follow written and verbal instructions
- Strong organizational and time-management skills
- Ability to work independently during evening and weekend shifts
- Awareness of basic safety practices in a community center environment
- Willingness to work evenings and weekends
- Physical ability to move tables, chairs, and event supplies
- Ability to stand for extended periods
- Must be punctual and responsible
Job Qualifications

- Any combination of school, volunteer, or informal experience that demonstrates required skills
- Ability to provide friendly, welcoming customer service to community members of all ages
- Ability to set up rooms, prepare materials, follow checklists, and support event logistics
- Comfortable engaging with children ages 4-12 in simple activities, group transitions, or creative projects
- Ability to follow written and verbal instructions including opening/closing procedures
- Strong organizational and time-management skills especially during busy events or parties
- Ability to work independently during evening and weekend shifts maintaining responsibility and good judgment
- Awareness of basic safety practices in a community center environment
- Enjoys working with children, families, and community members
- Comfortable interacting with the public and providing friendly, helpful customer service
- Organized and able to manage time, transitions, and multiple tasks
- Responsible, punctual, and able to work independently when needed
- Positive attitude with willingness to support a variety of events
- Experience in customer service, events, recreation, or education is a plus
- Strong attention to detail and problem-solving skills
- Comfortable assisting instructors and leading small group interactions
Job Duties
- Open and close the facility for evening and weekend events
- Greet teaching artists, instructors, and patrons upon arrival
- Provide event check-in support and assist with visitor wayfinding
- Unlock, prepare, and set up event and classroom spaces
- Set out and prep materials for workshops, events, or classes
- Serve as the on-site point of contact for instructors, rental clients, and visitors
- Monitor event flow, timeline, safety, and cleanliness throughout the event
- Report facility issues, incidents, or supply needs to the supervisor
- Clean and reset rooms after events
- Set up and prepare party spaces
- Support the teaching artist with activity setup as needed
- Welcome birthday families and guests
- Ensure all guests sign waivers
- Engage participants in pre-art activities
- Keep the party on schedule
- Assist with food and dessert setup
- Facilitate cake time and guest transitions
- Organize gift drop-off and assist with loading gifts at the end
- Fully clean and reset the party area
