We are currently seeking a Sales and Events Coordinator to support our three Marriott-branded hotels—Courtyard, Residence Inn, and SpringHill Suites—located in Concord, NC. This full-time position offers competitive pay along with extensive professional training and development, supported by a responsive corporate team. The role plays a vital part in the coordination and execution of events and group meetings, acting as a liaison between the sales team and clients to ensure seamless communication and customer satisfaction.

As a Sales and Events Coordinator, you will be responsible for managing and updating all active event files, tracking group room night pick-up and catering sales, and assisting with deliveries and setups related to group events. Your role involves detailed coordination support for Sales Managers and the Sales Director to facilitate efficient planning and execution of functions. This includes preparing banquet event orders (BEOs), maintaining detailed calendars, conducting site tours, and helping with proposal and contract preparation.

The ideal candidate will possess prior experience in hospitality sales, catering, hotel front desk operations, or event coordination. Familiarity with reservation systems such as FOSSE or OnQ is advantageous. Strong communication skills, attention to detail, and the ability to handle multiple tasks efficiently are essential. The position requires availability for some evenings and weekends to support scheduled events.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in hospitality sales, catering, hotel front desk, or events
  • Ability to work some weekends and evenings based on booked events
  • Excellent communication and organizational skills
  • Ability to manage multiple tasks and priorities
  • Proficiency with computer and reservation systems
  • Physical ability to sit, stand, walk, use hands, and lift up to 25 pounds
  • Must maintain professional appearance and conduct
  • Ability to provide excellent customer service and resolve conflicts effectively

Job Qualifications

  • Prior experience in hospitality sales, catering, hotel front desk or events
  • Ability to read and interpret safety rules, operating and maintenance instructions, and procedure manuals
  • Strong written and verbal communication skills
  • Proficiency in calculating figures such as discounts, commissions and percentages
  • Ability to apply concepts of basic algebra and geometry
  • Problem-solving skills to handle diverse situations
  • Ability to interpret instructions in written, oral, diagram or schedule form
  • Familiarity with reservation systems like FOSSE or OnQ is a plus
  • Prior hotel environment experience is advantageous

Job Duties

  • Maintains and updates all active files
  • Logs in pick-up of room nights, food and beverage, after event actualization weekly in sales database
  • Uncovers detailed information from meeting planners to aid hotel outlet staffing
  • Supports Sales Department with deliveries, shipments and disbursements of group equipment and materials
  • Updates function books, calendars or computer systems as group agendas are finalized
  • Notifies Sales Management of changes or additions to agendas
  • Attends sales and property meetings
  • Follows up with group blocks prior to cut-off dates
  • Answers incoming calls and handles requests
  • Provides phone, email, and office coverage to assist customers
  • Blocks space and creates banquet event orders (BEOs) for all events
  • Prepares group resumes, daily function reports and distributes event information
  • Resolves client issues to ensure satisfaction
  • Ensures accurate billing, commissions, and deposits
  • Conducts hotel site tours
  • Assists Sales Managers with group rooming lists, convention kits and collateral
  • Types proposals, contracts and BEOs
  • Communicates messages to Sales Managers and Director
  • Attends pre-conference meetings to ensure client satisfaction
  • Maintains professional relationships with team members and guests
  • Presents a professional image
  • Performs additional duties as requested
