The Louisville Thoroughbred Society is a prestigious organization dedicated to celebrating and promoting Louisville's rich thoroughbred heritage, a cornerstone of Kentucky's culture and history. As an established entity within the community, the Society curates exclusive member events, race-day experiences, and special gatherings that highlight the lasting traditions and prestige of Louisville's thoroughbred industry. Since its inception, the organization has grown to become a key player in fostering a deep appreciation for thoroughbred racing, blending social engagement with cultural enrichment for its members, sponsors, and partners. We are currently seeking an experienced and highly organized Hospitality & Events Manager to take on a pivotal role within the Society. This full-time position calls for an individual with event planning expertise, hospitality leadership, and strong relationship management skills, complemented by a passion for Kentucky’s thoroughbred industry and culture. The Hospitality & Events Manager will be responsible for the end-to-end planning, coordination, and execution of an array of events ranging from intimate member gatherings to large-scale race-day functions and specialty dinners. The successful candidate will have the opportunity to build and maintain relationships with key stakeholders, including members, guests, sponsors, and vendors, ensuring every event delivers seamless operational execution and outstanding service standards.
The role requires the development and implementation of quarterly event strategies designed to enhance membership engagement, particularly through flagship events such as the LTS Derby series. This includes overseeing budgets, financial tracking, and operational plans, always with a focus on maximizing cost-effectiveness while upholding the highest quality standards. The Hospitality & Events Manager must be adept at vendor management, contract negotiations, and coordinating logistics, guaranteeing that all aspects—from floral arrangements and entertainment to décor—are aligned with the club’s prestige and traditions. Additionally, this role supports marketing efforts by collaborating with leadership on event promotion, member communications, and the creation of engaging marketing materials and invitations. The ideal candidate will also help conceive new events that increase member involvement and strengthen the community presence of the Society.

This role offers a unique blend of responsibilities that require creativity, meticulous organization, and the ability to thrive in a dynamic environment where evenings and weekends may be required during event seasons. Candidates should possess a bachelor’s degree in hospitality management, event management, marketing, or a related field, along with 3 to 5 years of relevant experience. Experience managing upscale events, member organizations, vendors, budgets, and event logistics is preferred, ensuring that the Society’s events continue to set the standard for excellence in the region.

Job Requirements

Job Duties
- Plan coordinate and execute all Louisville Thoroughbred Society events including member gatherings race-day experiences specialty dinners networking events and private functions
- Provide quarterly strategies for all events and membership engagement specifically owning and executing all LTS Derby events
- Develop event timelines budgets financial tracking and operational plans for each major event while ensuring cost effectiveness
- Coordinate event sponsors logistics vendor management and on-site event execution
- Identify key vendors and negotiate contracts and ensure vendors deliver high-quality service to include but not limited to floral entertainment and decorations
- Ensure all events reflect the prestige and traditions of the Club
- Manage event registrations tracking attendance and post-event reporting
- Collaborate with leadership on event promotion and member communications
- Assist with event marketing materials invitations and digital promotions
- Help create new events that increase member engagement and community presence
