We are currently seeking a dedicated Events Coordinator to join our marketing department as a full-time, exempt member of our team. The role reports directly to the Events Manager, General Manager, Director of Operations, and the Chief Operating Officer. The ideal candidate will take on key leadership responsibilities to plan, book, and coordinate all events within Happy Hospitality's restaurants. Job Requirements
- Eligible to work legally in the United States
- Ability to work day, night shifts, weekends, holidays, and be on call
- Ability to lift up to 15 pounds occasionally
- Prolonged periods of sitting and working on a computer
- Ability to access and navigate different departments within the organization
- Exceptional time management and supervisory skills
- Strong motivational and leadership abilities
- Ability to handle confidential information
- Excellent written and verbal communication skills
- Must uphold high standards of professionalism
- Experience in hospitality or restaurant environments preferred
Job Qualifications
- 1-2 years of event coordination or hospitality experience
- Proficiency in Microsoft Office Suite or similar software
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Knowledge of hospitality and events industry
- Ability to maintain confidential information
- Leadership skills including active listening, decision making, and professionalism
- Ability to work under tight deadlines and prioritize responsibilities
- Previous experience with event platforms is desirable
- Sales experience is a plus
- Familiarity with reservation and booking platforms such as Open Table is beneficial
Job Duties
- Coordinate all organizational aspects of events for Happy Camper
- Respond promptly and manage communication with potential clients about location event inquiries
- Identify business potential, close sales, overcome objections, negotiate contracts, upsell services, and understand client needs
- Handle contracts, negotiations, invoicing, deposits, final payments, and account reconciliations
- Ensure compliance with legal, safety, and health requirements for events
- Create proposals with floorplans, custom menus, and general event outlines
- Coordinate and update Banquet Event Orders and communicate them with front-of-house and back-of-house management teams
- Work with management to schedule staff for events
- Review menu and beverage selections to ensure proper ordering
- Ensure availability and setup of equipment, dinnerware, and glassware for events
- Develop new client relationships and maintain existing partnerships
- Maintain confidential and detailed customer files
- Uphold professionalism and effective communication
- Perform additional duties as assigned
