The Guest Services Coordinator role at Sun Outdoors RV Resort is a critical position that supports both the administrative and customer service operations of the resort. This hourly role, paying $16 per hour, involves working closely with the RV Resort Manager and various team members to ensure smooth daily operations and excellent guest relations. The position demands a versatile individual capable of handling multiple responsibilities such as greeting and engaging with guests and residents, managing petty cash, processing payments, and maintaining accurate records within property management systems like Yardi. In addition to routine administrative duties like answering phones, filing, and preparing communications, the coordinator also helps coordinate guest reservations, organize community events, and assist with marketing initiatives to promote the resort.

Job Requirements

  • High school diploma or GED
  • 2 years in administrative experience
  • 6 months in previous experience using property management and/or reservation systems preferred
  • 6 months in hotel or resort front desk experience preferred
  • Strong customer service skills
  • Excellent telephone skills
  • Good problem solving skills
  • Professional appearance
  • Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner
  • Must have a valid driver's license

Job Qualifications

  • High school diploma or GED

Job Duties

  • Greet and establish rapport with guests, current and prospective residents
  • Field resort comments, suggestions, and complaints to the RV Resort Manager
  • Maintain the petty cash fund, ensuring to record expenditures in the proper accounts
  • Perform general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned
  • Collect and post resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi
  • Prepare and distribute resort communications such as rule reminders, violation notices, newsletters
  • Assist with accepting guest reservations in person and via phone
  • Ensure office supplies are sufficiently stocked and prepare supply orders as needed
  • Assist with planning and coordinating guest and resident relations events and activities within the resort
  • Assist with the preparation of marketing materials
  • Make collection calls for site rental payments as directed
  • Process resident move-ins and move-outs
  • Complete and maintain resort records, reports, and files
  • Refer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely manner
  • Obtain approvals on prospective resident applications
  • track all approvals and denials
  • Assist prospective residents by checking the status of Sun Homes inventory
  • review home listings, show homes, and assist with rental applications
  • Review and code invoices and other payables and submit to manager approval
  • Check guests in and out for their reservations
