The Front Desk Associate acts as the initial point of contact for guests, managing all phases of the guest experience from initial check-in through to check-out while ensuring compliance with Navy policies and procedures. Job Requirements
- High school diploma or equivalent
- One year of general office clerical experience
- One year of progressively responsible experience related to the position
- Ability to work part-time hours (20 - 34.5 hours per week)
- Effective verbal and written communication skills
- Proficient in use of telephone systems and computer software
- Customer-focused with a welcoming and positive attitude
- Availability to work weekends, holidays, and varied shifts
- Food handling certification if assigned to breakfast duties
- Valid state driver's license if travel is required
- Ability to maintain confidentiality and security of guest information
- Ability to perform duties in compliance with Navy regulations and standards
- Willingness to undergo required training and certification processes.
Job Qualifications
- One year of general office clerical experience demonstrating ability to perform clerical duties satisfactorily
- One year of progressively responsible experience related to front desk or customer service roles
- Familiarity with property management systems and reservation processes
- Effective communication and interpersonal skills
- Ability to handle guest complaints and resolve issues diplomatically
- Basic arithmetic and cash handling skills
- Food handling certification if involved with breakfast bar operations
- Ability to work varied shifts including weekends and holidays
- Willingness to obtain NEXCOM Hospitality Group front desk certification within 6 months
- Experience or willingness to train others
- Valid state driver's license if travel between facilities is required.
Job Duties
- Assists guests with requests in person or via telephone including making confirming or canceling room reservations collecting payments presenting lodging receipts and processing check-in and check-out
- Greets and welcomes guests maintaining outstanding guest relations
- Communicates with lodging associates and chain of command concerning operations and guest issues
- Applies knowledge of operating procedures and rules governing patron eligibility and processes reservations accordingly
- Assists in handling group reservations using commitment agreements
- Reconciles shift transactions ensuring complete balancing of accounts
- Resolves guests complaints and adjusts room fees and check-in or check-out times as necessary
- Registers and assigns rooms issuing room keys or cards and maintains guest account records
- Operates multi-line telephone system recording and delivering messages and answering inquiries
- Manages inventory of keys supplies and amenities at the front desk and maintains a clean and safe lobby area
- Reports lost keys immediately and logs master key usage
- Trains and instructs personnel assigned to the front desk
- Utilizes Property Management System to access guest information and manage reservations
- Ensures Lost and Found procedures are followed and troubleshoots maintenance issues
- Operates POS for sales recording and stocking convenience store supplies
- Handles wake-up calls and types correspondence
- Manages change funds and logs daily deposits
- Generates and verifies various reports including arrivals departures and occupancy
- Prepares Close Bank Report
- May set up clean up and maintain complimentary breakfast bar and assists with laundry facility and supply delivery
- May travel to other lodging facilities and required to work all shifts including weekends, holidays and emergencies
- May obtain required certifications.
