The Front Desk Agent role at Baywood Hotels is essential to the smooth operation of the hotel's daily functions. Job Requirements
- High school diploma
- TIPS or similar approved alcohol server training certification as required
- Previous hotel front desk experience preferred or 2+ years related customer service or on-the-job training
- Ability to multi-task
- Effective communication skills both written and oral
- Bilingual (Spanish and English) preferred depending on geographic market
- Ability to work the shifts required for the position
- Ability to learn and adhere to Brand and Baywood Hotels' standards
- Ability to take information from various sources and determine a responsible course of action
- Ability to understand interdepartmental relationships
- Ability to operate office equipment and industry specific software (PMS)
- Ability to remain calm during stressful situations

Job Duties
- Greet guests with genuine and warm spirit of hospitality
- Register (check-in) guests efficiently following Baywood and Brand standards
- Post transactions to guest and master accounts
- Review guest account balance ensuring payment is secured
- Reconcile discrepancies between Property Management System (PMS), housekeeping reports and registration cards
- Review arrivals and block special requests
- Process required reports including downtime and high balance
- Monitor and restock sundry shop ensuring consumed items are paid for
- Handle guest requests and concerns courteously and efficiently
- Coordinate the delivery of guest services by other hotel departments and outside businesses
- Process all incoming and outgoing reservation and cancellation requests timely and efficiently
- Prepare guest amenities and ensure delivery in a timely manner
- Handle in-house guest reservation requests such as extension, late check-out, and rebooking
- Handle check-out procedures swiftly and accurately and assist guests on departure
- Maximize room revenue and occupancy through suggestive selling
- Store guest luggage
- Provide guests with accurate information about marketing programs, hotel functions, and local area
- Handle departmental cash drawer and accounting of monies and credit card receipts
- Maintain communication sources such as log books and franchise directories
- Operate Private Branch Exchange (PBX) equipment handling calls, wake up calls, and paging
- Maintain procedures for credit control and financial transactions
- Ensure guest safety and privacy by adhering to procedures
- Issue safety deposit boxes following security protocol
- Monitor key box and log all transactions
- Complete brand specific logs and follow protocol for guest complaints
- Coordinate emergency procedures including evacuations
- Assist with guest relocation when necessary
- Assist other departments during slow periods
- Perform additional duties as assigned by management
- Consistently model the behavior of a Baywood Ambassador including professional image and warm greetings
- Actively listen to guests and respond appropriately
- Foster teamwork and assist others as needed
- Monitor workplace for cleanliness, safety, and maintenance issues
- Contribute to a safe work environment by following safety guidelines
- Recommend other Baywood properties to guests
