The Guest Coordinator plays a vital role in the Ulta Beauty team by engaging guests through personalized interactions both in-store and over the phone. This role focuses on promoting Ulta Beauty’s services by providing exceptional guest service, managing appointment bookings, and supporting salon operations. The Guest Coordinator is responsible for contributing to the store’s sales goals related to retail and service sales, guest loyalty, and omni-channel sales. They handle guest inquiries and concerns courteously, assisting with product and service recommendations tailored to individual guest needs. Additionally, they support service providers by helping manage appointments, driving rebookings, and encouraging new guest acquisition. This position requires a passion for the beauty industry, excellent communication skills, and the ability to learn and effectively share knowledge about Ulta Beauty’s products and services.

The Guest Coordinator is expected to adhere to company policies, procedures, and compliance standards, including safety and infection control measures following state board guidelines.

Job Requirements
- High school diploma is preferred
- Minimum of 1 year relevant work experience or equivalent combination
- Proficient with Point of Sale system and other basic technology
- Strong sales and product knowledge
- Excellent communication skills
- Ability to handle customer relations and build strong relationships
- Capable of troubleshooting problems
- Ability to work independently and support team efforts
- Flexible to work days, evenings, weekends, and holidays
- Ability to stand, bend, push, pull, crouch, reach, stoop, twist, and lift/move up to 10 lbs continuously during shift
- Frequent use of computer and telephonic devices
- Commitment to company policies and safety standards
Job Qualifications
- High school diploma is preferred
- 1 year of relevant work experience or equivalent combination of education and experience
- Proficient with technology such as Point of Sale systems, Apple devices, and Services Booking System
- Demonstrated competency in sales, products, and service
- Ability to build and maintain strong customer relationships
- Strong communication skills

Job Duties
- Contribute to meeting or exceeding store goals related to retail and service sales, guest loyalty, retail shrink, and omni-channel sales
- Provide exceptional guest service by acknowledging guests in salon, haircare, and skincare areas and offering friendly, prompt, and courteous service
- Handle sales, refunds, and exchanges courteously
- Support services team by answering salon phone calls, resolving guest concerns, managing booking system and traffic flow, suggesting add-on services
- Promote current promotions and events, confidently inviting guests to try services and recommending products
- Assist service providers with appointment pages, rebooking, and new guest acquisition
- Book appointments and support execution of services and in-store events
- Stay informed about industry trends, products, and services to better serve guests
- Maintain prompt and regular attendance
- Contribute to an inclusive environment supporting teammates and guests
- Collaborate with team to create awareness of stylists’ personal goals
- Develop guest relationships through personal interactions and retail/service recommendations
- Identify guests’ needs by observing consultations and ensuring comprehensive service experience
- Partner with managers, associates, and therapists to enhance the guest experience
- Share benefits of guest loyalty program and app with guests
- Attend mandatory training and meetings for professional development
- Ensure compliance with company policies, procedures, and standards
