In this role, the successful candidate will be the primary housing and billing contact for group guests, ensuring a seamless and successful event experience from pre-arrival through to departure. This includes processing all reservation requests, changes, and cancellations efficiently via phone, fax, or mail, while providing exemplary service in adherence with the brand's established guidelines. The individual will be responsible for identifying specific guest reservation needs, determining the appropriate room types, and verifying availability and rate details to accommodate each booking precisely. Important responsibilities also include explaining policies related to guarantees, special rates, and cancellations clearly to guests, as well as accommodating special requests and documenting them accordingly. The candidate will manage the setup of billing accounts, including complex arrangements such as share-with, room/tax/incidentals, tax-exempt, direct/special billing, and group bookings in line with accounting policies. Additionally, preparation, review, and issuance of bills, invoices, and account statements will be executed in accordance with company procedures, maintaining accuracy and professionalism at all times.
A vital component of this position is the maintenance of close communication and collaboration with various departments and external parties, ensuring that group events are coordinated smoothly and billing processes are handled properly. The role also demands strict adherence to all company safety and security protocols, confidentiality of proprietary information, and protection of company assets. The successful candidate will be expected to uphold the highest standards of personal appearance and professionalism, demonstrate excellent communication skills, and serve guests with genuine hospitality, including assisting individuals with disabilities. Maintaining quality assurance standards and fostering positive working relationships within the team are essential to achieving collective goals. Moreover, the role requires some physical activity, including moving objects up to 10 pounds without assistance. Job Duties
- assist hotel group guests to ensure a successful event by being the housing and billing contact from pre-arrival through departure
- process all reservation requests, changes, and cancellations received by phone, fax, or mail
- identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate
- explain guarantee, special rate, and cancellation policies to callers
- accommodate and document special requests
