Carroll University is currently seeking a Graduate Assistant for Reservations and Event Services to play a pivotal role in the management and coordination of campus events, including the university’s Summer Camps and Conferences. This position is integral to supporting the Director and the Reservations and Event Services staff by overseeing the supervision of student employees such as Fellows, Supervisors, and a general staff of about 25 individuals. The Graduate Assistant will provide critical administrative support, handle scheduling and client relations through the university’s reservation system, and ensure smooth coordination across multiple departments to maintain high standards of event execution. The role requires a balance of customer service, administrative skills, and leadership, especially as the assistant supports staff management and event logistics both during and outside standard business hours.
This Graduate Assistant role is designed for current full-time graduate students enrolled at Carroll University or those approved for certain graduate programs. The position demands flexibility to work evening and weekend hours and to participate in an emergency on-call rotation during summer camps, highlighting the role’s dynamic and hands-on nature. Ideal candidates will have experience working in higher education or an events environment, strong communication skills, and the ability to work effectively in a diverse and collaborative setting. Supervisory experience and proficiency with Microsoft applications are desirable. The position also includes physical responsibilities such as lifting up to 50 pounds and walking for extended periods, reflecting the day-to-day realities of event and facility coordination.

- Must have valid driver’s license and be insurable under university’s insurance
- Maintain full time status in a graduate program
- Bachelor’s degree required
Job Qualifications
- Maintain full time status in an eligible Carroll University graduate program
- Proficiency with Microsoft computer applications desirable
- Bachelor’s degree required
- Previous experience working in higher education or an events office environment preferred
- Supervisory and event management experience preferred
- Excellent verbal and written communication skills
- Ability to work effectively with diverse populations
- Ability to work in a high-pressure environment and maintain effective relationships
- Valid driver’s license and insurability under university insurance
Job Duties
- Provide supervisory support to student employees in absence of direct supervisor
- assist with training, task and project assignments, and participate in regular staff meetings
- Provide office support including answering phones, assisting with paperwork, collecting information to draft and execute contracts, generate invoices
- Utilize scheduling software to enter events and ensure client requests are monitored and completed
- Run reports from the university reservation system to monitor client requests and manage daily workflow
- Collaborate with university departments in the successful coordination of events
- Assist in the enforcement of facility guidelines and university policy
- Supervise and support events outside normal business hours if necessary
- Complete other duties as assigned
- Assist with coordination of guest services, facilities, custodial services, and other client requests during Summer Camps and Conferences
- Attend check-ins and check-outs during the summer to increase visibility and customer service
- Facilitate and attend camp welcome meetings when needed
- Work closely with Dining Services, Card Office, Residence Life and Housing, Office of Information Technology, Public Safety, Facilities, and other stakeholders
- Distribute information to clients, stakeholders, and staff timely and efficiently
- Share in summer camps and conferences emergency on-call rotation including responding, documenting situations, and providing follow-up
