Job Requirements

  • Bachelor's degree or equivalent degree
  • 3-5 years of related experience
  • knowledge of meetings industry concepts and practices
  • ability to work independently and with minimum direction
  • ability to sit, stand, and/or walk for 8 hours per day
  • ability to travel to one event every two years
  • ability to lift up to 30 pounds
  • availability to work in office four days a week

Job Qualifications

  • Bachelor's degree or equivalent degree and work experience
  • at least 3-5 years of related experience
  • knowledge of commonly-used concepts, practices, and procedures within the meetings industry
  • experience with building and running virtual events, On24 preferred
  • strong problem solving, negotiation, and interpersonal skills
  • ability to work independently with minimum direction
  • robust attention to detail
  • proficiency with MS Word, Excel, Outlook, and PowerPoint
  • experience with Salesforce and/or Pardot preferred
  • Certified Meeting Professional preferred
  • fluent in Spanish preferred

Job Duties

  • Collaborate with clients and stakeholders to define event goals, objectives, and target audience
  • coordinate all logistical aspects of virtual events including speaker management and technical setup
  • build registration sites within On24 for all non-series virtual events
  • coordinate speaker communications, logistics, and deliverables
  • coordinate with Event Marketing Team and Central Marketing to organize event promotion and deliverables such as invitations and graphics
  • oversee technical aspects of events including live streaming and webinar platforms
  • provide technical support and troubleshooting during events
  • monitor event engagement and attendee feedback and adjust as needed
  • conduct speaker training sessions to ensure preparedness and smooth delivery
  • manage event agendas, timelines, and overall flow
  • source, request, and evaluate hotel, venue, and vendor contracts
  • develop meeting specifications and event documentation
  • review Banquet Event Orders for accuracy
  • collaborate with third-party vendors including transportation, décor, and production companies
  • coordinate with signage providers and graphic design teams for branding materials
  • manage speaker logistics and communications
  • oversee agenda development and on-site event execution
  • create and produce meeting materials such as name badges and collateral
  • support the Global Events Team with various responsibilities as needed
