The Administrative Assistant role within Friendship Village's Assisted Living team is a full-time position designed for a highly organized, proactive individual who provides critical office support to ensure smooth daily operations. Participants in this role serve as vital links between the Director of Woodside Resident Care, the Administrator, Nurse Supervisor, Department Directors, residents, visitors, and staff. Starting at $17.00 per hour, this position offers a blend of administrative duties and hands-on coordination efforts, directly impacting the effective functioning of the assisted living community.
This opportunity requires an individual who is comfortable managing a variety of responsibilities, from handling office supplies and maintaining the reception desk to coordinating transportation for residents to medical appointments. The role demands excellent communication skills, both for welcoming visitors and responding to inquiries, and strong administrative skills, including accurate record-keeping and coordination with the accounting department regarding resident charges.
The Administrative Assistant at Friendship Village ensures that the office environment is secure by opening and closing the reception desk with diligence, properly securing files, keys, doors, and equipment. They are a welcoming presence, greeting visitors, vendors, and residents in a manner that reflects the community's values of kindness and respect. Strong organizational skills are required for managing reservations, appointments, cancellations, and payment recordings. Moreover, the assistant takes on essential logistical tasks such as coordinating transportation and maintaining precise financial records related to nursing supplies.

Job Requirements
- High school diploma or equivalent
- Minimum of two years general office management experience
- Strong communication skills in English
- Proficient in typing, word processing, and Microsoft Excel
- Ability to perform basic mathematical calculations
- Capable of working independently and managing time effectively under pressure
- Previous experience in senior living or healthcare settings preferred
- Willingness to comply with vaccination requirements including MMR, chickenpox, hepatitis, and flu as applicable
- Must be detail-oriented and reliable
Job Qualifications
- Ability to communicate effectively in English
- Able to perform simple mathematics
- Thorough knowledge and skill in typing, word processing, and excel programs
- High school graduate
- Two years of general office management experience
- Ability to work under pressure, meet deadlines, be exact in performance and work well without direct supervision
Job Duties
- Open and close the reception desk and properly secure all files, keys, doors and equipment in the office area
- Welcomes visitors, vendors, and/or residents, answer phones, answers questions, handles inquiries and refer to proper departments
- Accepts and records, as directed, payments, reservations, appointments, cancellations, etc.
- Coordinates transportation for residents to medical appointments as needed
- Records and calculates all resident charges for nursing supplies and sends them to the accounting department on monthly basis
