Job Description

Family Practice Associates (FPA), established in 1983 by Dr. Jeffrey Foxx, is one of the largest family practice groups in Central Kentucky, dedicated to providing comprehensive family-centered medical care. Over the years, FPA has expanded into a highly respected network of over 20 primary care providers that include physicians, nurse practitioners, physician assistants, and a marriage and family therapist. This multidisciplinary team works together to serve patients of all ages, from infancy to adulthood, with a focus on continuous, quality care across various stages of life.

The Front Office Receptionist position at Family Practice Associates is critical in creating a welcoming and efficient first point of contact for patients. This role requires a personable, organized, and proactive individual to manage the front desk operations from patient check-in through to after-visit procedures. Responsibilities include greeting patients warmly, verifying and updating patient information, handling patient registration, scanning and indexing important documents, monitoring digital dashboards for patient flow, managing encounter forms, verifying insurance eligibility, and processing payments including copays and deductibles.

This position also entails scheduling appointments according to provider instructions and patient requests, ensuring prescriptions are accurately managed in electronic records, providing necessary patient education materials, and assisting with administrative support tasks such as coordinating drug representative visits and keeping the front desk and lobby tidy and well-stocked. The role demands excellent communication skills, attention to detail, and the ability to provide exceptional customer service, as well as the capacity to work collaboratively with various departments to maintain the smooth operation of the practice.

Front Office Receptionists at FPA must be able to adapt to varying schedules, including some Saturdays and evening shifts. Employees are expected to travel between the two FPA locations as needed. Job Requirements

  • Must be willing to travel between both locations Hamburg and Brannon Crossing
  • graduate of a medical office related training program or a minimum of high school graduate, preferably with medical office experience
  • ability to sit down and stand up frequently, stretch over counters and lift loads of less than 10 pounds
  • fine motor skills necessary to operate computers for long periods of time
  • problem solving skills necessary to assist patients with all aspects of origination of care and encounter

Job Qualifications

  • Graduate of a medical office related training program or equivalent experience

Job Duties

  • Greet patients in a courteous and professional manner
  • update and verify patient information as needed
  • register new patients
  • scan patient identification, insurance cards and other paperwork
  • index scanned documents to patient charts
  • continuously monitor the Phreesia dashboard
  • print encounter forms as needed
  • perform insurance eligibility and benefits checks and explain to patients as needed
  • collect copays, deductibles, and previous balances
  • reconcile payments posted in Phreesia at the end of the business day
  • schedule appointments in Allscripts PM as instructed by the provider or requested by patients
  • verify and ensure accuracy of prescription output in Allscripts EHR
  • print and/or call in prescriptions and obtain provider signature for controlled substances
  • provide patients with printed materials including prescriptions, patient education, release of information forms, school/work excuses, and clinical summaries
  • assist patients with questions, concerns, and appointment scheduling
  • relinquish materials such as medical records, drug samples, and written prescriptions as directed
  • schedule and track drug representative appointments, assist with scheduling breakfasts/luncheons and notify staff
  • keep front office stocked with patient forms
  • maintain cleanliness and professional appearance of desks and lobby at all times
  • clean and straighten work areas and lobby at close of business
  • perform other duties and responsibilities as assigned to meet service standards for check-in and check-out reception
