The Front Office Receptionist role at Community Medical Centers is a vital position within this integrated healthcare system, forming an essential part of the Care Team. This position focuses on delivering an exceptional customer service experience by warmly welcoming patients, visitors, and clients, whether in person, over the phone, or through digital communication platforms. The Front Office Receptionist is tasked with facilitating smooth patient flow through scheduling appointments according to established protocols, assisting with patient registration and data entry, and coordinating referrals to appropriate departments. Another key responsibility is supporting empanelment and team-based care efforts by ensuring patients are appropriately assigned to their Primary Care Providers, thereby enhancing care continuity and provider utilization measures.
Additional responsibilities include conducting confirmation calls to reduce no-shows, pre-visit planning, chart updating, and collaborating closely with clinical and administrative staff to optimize clinic operations. The role demands meticulous attention to detail in verifying insurance information, updating health records, managing payments, and handling inquiries or complaints with professionalism and tact. The Front Office Receptionist also engages in outreach activities to connect patients with necessary healthcare services, assisting with electronic patient portal registration, and supporting new staff training. This dynamic role requires flexibility, as travel between different clinic sites may be necessary.

Job Requirements
- Completion of high school or possession of GED
- at least one year of full-time experience as a receptionist or in a customer service position with a community-based organization, or satisfactory completion of medical receptionist or medical assistant training program
- ability to provide sensitive and respectful care to individuals from diverse backgrounds
- ability to work with computers and data entry
- ability to type 35 wpm preferred
- knowledge of business office procedures
- knowledge of grammar, spelling, and punctuation
- skill in operating computer, phone, copier, and fax machine

Job Qualifications

Job Duties
- Promotes the mission, vision, and values of the organization
- warmly welcome and greet patients, clients, visitors to the clinic or department in person, on the phone, or via text, and direct them appropriately
- perform patient visitor screening per guidelines
- register patients within Electronic Health Record and ensure accurate data entry
- schedule appointments following organizational protocols
- verify patient information, consents, and insurance eligibility
- conduct robust confirmation calls prior to appointments
- organize appointment schedules based on patient arrival and provider availability
- utilize pre-visit planning tools to improve care quality
