The Front Office Associate role at RAYUS Radiology is a full-time position designed for individuals who are passionate about providing exceptional patient service in a fast-paced medical environment. Working 40 hours per week, this role is integral to the patient journey, serving as the first point of contact for patients and referring professionals. As a Front Office Associate, you will be responsible for greeting patients warmly, managing appointment scheduling, verifying insurance details, and facilitating smooth communication between patients and clinical staff. The role involves handling registration processes, organizing patient information, and maintaining the front office's professional and welcoming atmosphere.

  • previous experience in customer service or medical office preferred
  • ability to handle multiple phone lines

Job Duties

  • Greets and checks-in patients scheduled for imaging services
  • registers demographic information and processes payment plans and copays
  • answers phones and handles calls in an efficient and friendly manner
  • fields calls appropriately for center associates
  • acts as liaison between technologists and patients waiting for exams and relays messages regarding scanner status and clinic information
  • maintains front office lobby area by straightening magazines, organizing supplies, and assisting with general office clean up
  • orders office supplies as needed
  • maintains supply of patient information sheets
  • pushes imaging via electronic interfaces
  • completes confirmation calls and provides preparation instructions to patient
  • faxes reports, billing information, and medical release forms as requested
  • verifies patient insurance
  • pre-certifies all exams with patient insurance company
  • obtains insurance authorization
  • uses knowledge of insurance carriers and procedures that require waivers to obtain authorization prior to appointment
  • handles release of information requests following company guidelines
  • arranges transportation, interpreters, and hotel accommodations for patients when appropriate
  • enters and submits patient exam orders
  • verifies orders match exam schedules
  • schedules referrals and ensures proper authorizations are obtained
  • schedules walk-in patients
  • processes requests for image orders and CDs from referring physicians and patients
  • maintains an up-to-date and accurate database on current and potential referring physicians
  • performs other duties as assigned
