The Front Office Associate role at RAYUS Radiology is integral to creating a welcoming and efficient patient experience. This full-time position operates from 6:30 am to 3:00 pm and serves as the initial point of contact for patients and referring professionals. The associate is responsible for greeting and registering patients, managing appointment scheduling, and facilitating communication between patients and medical staff. The role demands a cheerful, professional demeanor combined with organizational skills to handle multiple administrative tasks effectively. Key duties include managing phone communications, verifying insurance details, coordinating patient schedules, and maintaining the front office environment. Job Requirements

  • High school diploma or equivalent
  • prior experience in patient registration or front office administration preferred
  • ability to communicate clearly and professionally
  • basic computer skills including proficiency with scheduling and EHR software
  • knowledge of insurance verification and pre-certification processes
  • strong customer service orientation
  • ability to handle confidential information with discretion

Job Qualifications

  • High school diploma or equivalent
  • experience in a medical office or healthcare setting preferred
  • excellent communication and interpersonal skills
  • proficiency with scheduling software and electronic health records (EHR)
  • ability to multitask and manage time effectively
  • strong organizational skills
  • knowledge of medical terminology and insurance procedures preferred

Job Duties

  • Greets and checks-in patients scheduled for imaging services
  • registers demographic information and processes payment plans and copays
  • answers phones and handles calls in an efficient and friendly manner
  • fields calls appropriately for center associates
  • acts as liaison between technologists and the patients waiting for exams and relays messages regarding scanner status and other clinic information
  • maintains front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office clean up
  • orders office supplies as needed
  • maintains supply of patient information sheets
  • pushes imaging via electronic interfaces
  • completes confirmation calls and provides preparation instructions to patient
  • faxes reports, billing information, and medical release forms as requested
  • verifies patient's insurance
  • pre-certifies all exams with patient's insurance company
  • obtains insurance authorization
  • uses knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain authorization if needed prior to appointment
  • handles release of information requests for patients, referring offices, other medical facilities, attorneys & insurance companies following company guidelines
  • arranges transportation, interpreters, and hotel accommodations for patients when appropriate
  • enters and submits patient exam orders
  • verifies orders match exam schedules
  • schedules referrals and ensures proper authorizations are obtained
  • schedules walk-in patients
  • processes requests for image orders and CDs from referring physicians and patients
  • maintains an up-to-date and accurate database on all current and potential referring physicians
  • performs other duties as assigned
