The Front Office Assistant position at IMA Medical Group plays a critical role in fostering a welcoming and efficient clinic environment. The ideal candidate will be responsible for greeting patients warmly, managing appointment schedules for providers and ancillary services, and handling patient communications with clarity and care. This role also involves verifying insurance information, processing copayments, maintaining up-to-date medical records, and assisting in various administrative tasks that support doctors and clinical staff. The Front Office Assistant is essential in ensuring smooth daily operations within the medical office, providing excellent customer service both in person and over the phone. Strong communication skills in both English and Spanish, proficiency with electronic medical record (EMR) systems such as EClinicalWorks, and reliable organizational abilities are critical for success in this position. Working hours are set from Monday through Friday, 8:30 a.m. to 5:30 p.m., offering a structured and predictable schedule for employees. Job Requirements
- High school diploma or equivalent
- One year experience with electronic medical records (EMR), preferably EClinicalWorks
- Fluency in English and Spanish
- Effective interpersonal and customer service skills
- Good organizational and time management skills
- Excellent verbal and written communication skills
- Availability to work Monday through Friday, 8:30 a.m. to 5:30 p.m.
Job Qualifications

Job Duties
- Manage incoming and outgoing phone calls with a friendly and professional attitude
- Schedule appointments for providers and ancillary services
- Maintain patient lobby clean and organized
- Greet patients and check them in or out
- Verify medical insurance and collect copayments and balances
- Record messages that are complete, meaningful, and logged with the correct spelling
- Provide referral status to patients and specialist offices
- Manage incoming and outgoing medical records
