Job Description

We are currently seeking a diligent and personable Receptionist to join our team. This role is integral to our practice as the first point of contact for patients and visitors. The Receptionist is responsible for managing all front desk activities including answering telephone inquiries, providing information within the policies of our practice, and directing clinical or emergency questions appropriately. The ideal candidate will be proficient in patient registration processes, insurance verification, and handling payments, all while maintaining confidentiality and professionalism.

Beyond administrative tasks, the Receptionist plays a vital role in record management, ensuring patient registration sheets are completed accurately and patient information is up to date in our electronic medical records system. Responsibilities include managing incoming and outgoing communications via mail, fax, and email, as well as the financial aspects related to patient accounts such as collecting payments and posting them accurately. This position requires someone who is organized, detail-oriented, and focused on delivering excellent customer service, helping patients feel comfortable and supported from the first interaction until they leave our care setting.

Job Duties

  • Answer telephone
  • give information about the practice within the limits of practice policy
  • route clinical questions and emergency calls to the clinical staff or physician according to established policy
  • registration of new patients, including giving directions to new patients, verifying compatible insurance plans, verifying appropriate referrals authorization and indicating appropriate co-payment
  • distribute the mail, incoming faxes and emails
  • prepare and send outgoing mail, faxes and emails
  • obtain patient registration sheet for all patients
  • review these for completeness and request any missing information
  • verify information as necessary, including insurance cards and driver's license
  • verify address, telephone number, insurance status and any other desired information with repeat patients for currency, updating patient record as necessary
  • collect and enter patient payments and post payment into patient accounting system
  • scan and attach forms, labs and x-ray reports to electronic medical records
  • check out departing patients
  • perform other duties as assigned
