Job Requirements

  • Graduation from high school or equivalent
  • Minimum two years combined experience in front desk and supervisory roles
  • Effective communication skills in English
  • Ability to use computer systems for input and retrieval of information
  • Capacity to stand and move throughout front office continuously
  • Ability to lift up to 25 pounds
  • Flexibility to work varied shifts including weekends, holidays, and overnight
  • Strong customer service orientation
  • Ability to work in a fast-paced environment
  • Visual and hearing capabilities to detect emergency signs
  • Reading and writing proficiency in English
  • Adherence to company policies and safety procedures

Job Qualifications

  • High school diploma preferred
  • Two years combined prior front desk and supervisor experience
  • Ability to effectively deal with internal and external customers requiring patience, tact and diplomacy
  • Considerable skill in the use of a calculator and preparing moderately complex calculations without error
  • Ability to read, listen, and communicate effectively in English both verbally and in writing
  • Ability to access and accurately input information using a computer system
  • Hearing and visual ability to observe and detect signs of emergency situations
  • Demonstrated leadership and staff training skills
  • Knowledge of hotel front office operations and procedures
  • Strong problem-solving and decision-making abilities

Job Duties

  • Communicate effectively both verbally and in writing to provide clear direction to staff
  • Assign and instruct Front Desk Agents and Doorperson in details of work
  • Observe performance and encourage improvement
  • Greet guests immediately with a friendly and sincere welcome
  • Use a positive and clear speaking voice, listen to and understand requests, respond with appropriate actions
  • Complete registration process by inputting and retrieving information from a computer system
  • Confirm pertinent information including number of guests and room rates
  • Make appropriate selection of rooms based on guest needs
  • Code electronic keys
  • Provide welcome folders containing room keys, certificates, and coupons
  • Close out guest accounts at check out
  • Negotiate compromises to resolve dissatisfaction, including authorizing revenue allowance
  • Verify and imprint credit cards for authorization
  • Handle cash, make change and balance assigned house bank
  • Accept and record vouchers, travelers' checks, and other payments
  • Post charges to guest rooms and house accounts
  • Answer telephone promptly using positive and clear English
  • Input and retrieve messages accurately
  • Retrieve mail, packages, and facsimiles for customers
  • Remain calm and alert during emergencies or busy periods
  • Resolve customer complications and complaints through research and effective solutions
  • Authorize revenue allowances after exploring alternative solutions
  • Maintain adequate inventory of supplies and prepare purchase orders
  • Manage third party internet billing and arrivals
  • Prepare group arrivals and pre-arrival packets
  • Anticipate flow of arrivals and ensure smooth check in and check out
  • Train new agents on daily duties and cash handling procedures
  • Ensure compliance with brand standards
  • Monitor and track time and attendance
  • Reinforce attendance policy and recommend discipline when necessary
  • Work to ensure high associate satisfaction scores
  • Be familiar with duties across all shifts including Night Audit and PBX
  • Turn in lost and found items and guest room keys
  • Adhere to all company policies and procedures
  • Follow safety and security procedures
  • Know department fire prevention and emergency procedures
  • Utilize protective equipment
  • Report unsafe conditions and incidents
  • Provide a safe work environment
  • Maintain neat, clean and well groomed appearance
  • Assist other Front Desk Personnel as needed
  • Perform related duties as requested by management
