Job Requirements

  • High school diploma or equivalent
  • Previous experience in office or administrative roles
  • Proficiency in phone etiquette and handling multi-line phone systems
  • Basic computer skills including Microsoft Office and Google Workspace
  • Ability to perform clerical tasks such as copying, scanning, and faxing
  • Strong organizational and multitasking skills
  • Positive attitude and excellent communication skills

Job Qualifications

  • Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
  • Bilingual proficiency preferred to effectively communicate with diverse clients and team members
  • Familiarity with front desk operations, multi-line phone systems, data entry, filing, and general clerical tasks
  • Experience with computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic proofreading skills
  • Knowledge of office management procedures such as calendar management, time management techniques, and customer service best practices
  • Prior experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required
  • Demonstrated ability to handle phone etiquette professionally while providing exceptional customer service in fast-paced environments

Job Duties

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring they feel welcomed and valued
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings for team members or departments
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
  • Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties including copying, scanning, faxing, and managing correspondence via Google Workspace and Microsoft Office tools
  • Provide excellent customer support by addressing inquiries promptly and professionally while maintaining a positive attitude
