The Front Office Specialist at TRWD is a high-visibility, client-facing role that ensures exceptional service and represents the organization's core values from the moment anyone enters the Administrative Building lobby. This position demands an energetic, enthusiastic, personable individual with a polished and professional appearance and demeanor. The Front Office Specialist is responsible for greeting and assisting visitors, vendors, and employees with personalized and engaging service, enhancing their overall experience with TRWD. Beyond front-desk responsibilities, the role also involves supporting the Executive Team by managing tasks such as processing staff reimbursements, handling accounts payable paperwork, coordinating procurement card activities, and overseeing travel and meeting arrangements.
Secondary duties extend to detailed research, project and event support, cross-training administrative staff, and continuous improvement initiatives. This role requires excellent communication skills, proficiency in Microsoft Office applications, flexibility, and a strong work ethic. The ideal candidate should demonstrate initiative and resourcefulness, be able to prioritize multiple tasks effectively, and maintain a high level of professionalism in all interactions. Job Requirements

- two to four years of administrative professional experience
- proficiency in MS Office products such as Word, Excel, and other database applications
- excellent communication skills including phone and email etiquette

- Bachelor's Degree OR High School Diploma/GED plus 4 years of professional or similar experience
- valid Texas driver's license

- two to four years of administrative professional experience
- proficiency in MS Office products such as Word, Excel, and other database applications

- ability to prioritize duties
- desired six or more years of administrative professional experience in hospitality or executive settings
- advanced Excel experience
- SharePoint experience
- budgeting and reporting experience
- valid Texas driver's license
- Bachelor's or Associate's degree from an accredited university in a related field
Job Duties
- Providing personalized and welcoming customer service for any visitor, vendor, or employee entering the TRWD Administrative Building lobby
- demonstrate exemplary customer service and professionalism at all times
- demonstrate initiative and resourcefulness by quickly understanding expectations, anticipating needs, and independently managing the details of tasks
- possess a high level of professionalism in actions and appearance
- provide support to the Executive Team including travel coordination, procurement card coordination, accounts payable and reimbursements
- assist with meeting scheduling and coordinating of the Executive Team
- cross train Administrative Services staff to provide professional front desk services
- coordinate meeting and event planning and implementation
- problem solve and identify opportunities for innovative solutions
- coordinate special projects
- assist and support budget entry and reporting
- provide backup support to Administrative Services team including answering phones, courier services and meeting/catering setups
- maintain familiarity with strategic District levels of service
- continuously monitor and innovate improvement efforts
- perform other duties as required
