The role of the Patient Registration and Front Desk Coordinator is crucial in maintaining the clinic's daily operations and enhancing patient experience. This full-time position involves accurately checking patients in and out, verifying insurance details, collecting payments, obtaining necessary signatures on forms, and maintaining comprehensive and up-to-date patient records and accounts. The coordinator will play a vital role in ensuring patient flow is managed effectively during physical clinic visits. The ideal candidate will be detail-oriented, possess excellent customer service skills, and demonstrate strong organizational abilities. Responsibilities include preparing the clinic for opening by ensuring all systems and documents are ready, greeting patients and facilitating their initial paperwork, registering and updating patient records, verifying insurance timely and accurately, and processing payments. Additionally, the role includes balancing daily patient charges and completing closing procedures by preparing closing documentation and submitting required reports.

This position also supports marginal functions such as adhering to company procedures related to workers' compensation and occupational medicine patients, responding promptly to customer needs, assisting patients with follow-up appointments, and fulfilling medical documentation requests. The role requires physical capabilities including the ability to speak and hear clearly, stand for extended periods, and occasionally lift or move items up to 10 pounds. Working conditions involve an indoor healthcare environment with exposure to moderate noise levels and potential contact with bloodborne pathogens, necessitating the use of appropriate personal protective equipment.

Job Duties

  • prepare the clinic for opening each day by reviewing the facility, opening all systems applications, and preparing new patient registration packets and required documents
  • greet patients, provide patients initial paperwork, and obtain copies of insurance and identification cards
  • register patients, update patient records, and verify insurance accurately and timely
  • determine, collect, and process patient payments and address collection and billing issues
  • discharge patients accurately and timely by collecting balances, providing patient documentation, and following discharge procedures
  • balance daily patient charges (cash, check, credit cards) against system reports
  • complete closing procedures by preparing closing documentation and submitting required reports
