Job Duties
- Greet patients and families warmly upon arrival
- register new patients and update existing patient demographics
- verify insurance coverage and collect copayments/deductibles
- scan and upload insurance cards and identification documents
- collect and review completed patient forms and medical histories
- ensure HIPAA compliance in all patient interactions
- schedule appointments for routine, sick, and follow-up visits
- manage provider calendars and optimize scheduling efficiency
- handle appointment cancellations and reschedules
- confirm upcoming appointments via phone calls or automated systems
- coordinate same-day sick visits and urgent care needs
- answer multi-line phone system professionally and efficiently
- direct calls to appropriate clinical staff or providers
- take detailed messages and ensure timely delivery
- provide basic information about clinic policies and procedures
- handle patient complaints and concerns with empathy and professionalism
- process patient payments and maintain accurate payment records
- prepare charts and organize patient flow for daily operations
- maintain organized filing systems (electronic and paper)
- update patient information in electronic medical record system
- assist with prior authorizations and referral coordination
- distribute patient education materials as directed
- support nursing staff with administrative needs
- help maintain clean and organized front office areas
