Job Requirements

  • Minimum three years of recent experience in a client-facing or administrative support role
  • prior law firm experience preferred, especially in real estate or foreclosure
  • strong proficiency in Microsoft Outlook
  • proficiency in Microsoft Word
  • basic knowledge of Microsoft Excel
  • familiarity with Google Sheets
  • clear-spoken and articulate communication skills
  • exceptional organizational skills
  • meticulous attention to detail
  • ability to maintain confidentiality
  • strong verbal and written communication

Job Duties

  • Act as the professional face of the firm by greeting all clients, vendors, and visitors with warmth and courtesy
  • operate a multi-line phone system to answer and direct calls
  • manage foot traffic to ensure a welcoming experience
  • provide comprehensive administrative and clerical support to partners and staff
  • sort and distribute incoming and outgoing mail and deliveries
  • monitor and oversee one attorney's email correspondence
  • maintain organization and cleanliness of lobby, conference rooms, and kitchen area
  • manage calendaring of hearings and critical events, ensuring timely notifications
  • maintain client records and perform all labeling and filing in a paperless environment
