Job Duties

  • Secure the front door at all times
  • Greet and check in visitors and volunteers following sign-in procedures including scanning IDs
  • Direct visitors to appropriate staff and call students to the office as needed
  • Monitor attendance voicemail and contact parents to verify absences and tardies
  • Record daily staff attendance as assigned
  • Answer, screen, and route incoming calls and provide information to callers
  • Take messages for staff and students and retrieve voicemail
  • Make outgoing calls for administrators and authorized staff
  • Communicate with parents via Infinite Campus Messenger, district phone, text, and email systems
  • Enter and retrieve data in Infinite Campus including attendance, fees, and fines
  • Perform daily office tasks such as announcements, answering classroom calls, and supervising students in the office for disciplinary reasons
  • Act as liaison for volunteers
  • Accept, sign for, and distribute deliveries and handle returns
  • Send, receive, and distribute mail, faxes, and emails
  • File important documents and maintain organized records
  • Prepare reports, correspondence, memoranda, and special project materials for the Principal
  • Monitor the absence management system for daily absences
  • Coordinate substitute coverage and maintain substitute folders
  • Track attendance and ensure substitutes are prepared
  • Maintain substitute time reports and class coverage forms
  • Compile and distribute the weekly newsletter
  • Maintain the school’s COMMUNITY bulletin board
  • Manage cash collection and receive payments
  • Record Infinite Campus fees
  • Maintain spreadsheets for Homework Club payments, attendance, and contacts
  • Support school lunch program records, menus, and sign-ups
  • Track and order office supplies
  • Assist with preparing correspondence and reports
  • Assist with student supervision in the front office
  • Take and distribute homework and vacation requests
  • Cover the health clinic or lunch duty as needed
  • Perform photocopying, printing, and data entry as needed
  • Provide backup to the health clinic and other office functions
  • Perform other job-related duties to ensure the office runs smoothly and safely
