Job Description

Our client is a reputable Family Services Organization based in Atlanta, GA dedicated to providing supportive, compassionate, and trauma-informed care to children and families navigating complex social, emotional, and legal challenges. As an established entity in the social services sector, this organization plays a critical role in the community by supporting families and children aged approximately 5 to 17 years through a variety of therapeutic, forensic, and advocacy services. The facility offers a safe and welcoming environment designed to help families feel comfortable and supported during difficult times.

This opportunity is a 2-3 month contract position offering onsite work, averaging 32 hours per week with occasional Fridays needed. The role of Front Desk Receptionist is essential to the smooth functioning of the facility and acts as the first point of contact for all families and visitors entering the premises. This position requires an individual with strong interpersonal skills, organizational abilities, and a high level of professionalism, as it involves managing the security of the front entrance, assisting with client check-in, and supporting families during their visits.

The Front Desk Receptionist will be responsible for ensuring a calm, safe, and welcoming atmosphere in the waiting room by offering comfort items such as toys, television, bottled water, and quiet activities designed specifically for children while they wait for appointments. Occasionally, the receptionist may assist with supervising children under circumstances when parents or guardians are meeting with staff. Duties also include answering and transferring phone calls, providing clerical support like scanning, filing, copying, and organizing paperwork, and maintaining overall front desk and waiting room organization. Utilizing Microsoft Outlook and internal scheduling systems is key to staying aware of appointment times and communicating effectively with therapists, forensic interviewers, and advocates.

The ideal candidate will possess prior receptionist, administrative assistant, or client coordination experience, ideally within healthcare, nonprofit, counseling, pediatric, or family services environments. Equally important is the ability to demonstrate professionalism, empathy, and emotional maturity in a trauma-informed setting, as well as comfort interacting with children and families facing sensitive or stressful situations. The candidate must be dependable, organized, adaptable to changing schedules, and capable of working independently following training.

Because of the sensitive nature of the work, the position requires successful completion of additional background screenings including DHS/GBI fingerprinting. Candidates must be comfortable and dedicated to supporting the unique needs of children and families in vulnerable circumstances. Job Requirements

  • High school diploma or equivalent
  • Prior experience in receptionist, administrative assistant, or client coordination roles
  • Strong interpersonal communication skills
  • Comfort working with children and families in sensitive settings
  • Basic computer skills including Microsoft Outlook proficiency
  • Background check clearance including DHS/GBI fingerprinting
  • Ability to maintain confidentiality and professionalism
  • Dependability and strong organizational skills
  • Ability to work onsite in Atlanta, GA
  • Availability for approximately 32 hours per week with some Fridays

Job Qualifications

  • Prior receptionist, front desk, administrative assistant, customer service, or client coordination experience preferred
  • Experience supporting healthcare, counseling, nonprofit, social services, education, pediatric, or family focused environments highly preferred
  • Strong interpersonal and communication skills
  • Comfortable interacting with children and families in sensitive or emotionally difficult situations
  • Ability to maintain professionalism, confidentiality, and neutrality at all times
  • Dependable and organized with strong attention to detail
  • Comfortable working independently at the front desk after training
  • Basic computer proficiency including Microsoft Outlook and Windows systems
  • Ability to multitask and adapt to changing appointment schedules and office activity levels
  • Comfortable performing light clerical and administrative support duties during downtime
  • Ability to remain calm, compassionate, and emotionally mature in a trauma informed environment

Job Duties

  • Monitor secured front entrance and verify appointments prior to allowing entry into the building
  • Welcome and check in clients and visitors upon arrival
  • Provide intake paperwork and assist families with the check-in process
  • Notify therapists, forensic interviewers, and advocates when clients arrive
  • Maintain a calm, safe, and welcoming waiting room environment for children and families
  • Offer support items such as toys, television, bottled water, or quiet activities for children while waiting
  • Occasionally assist with supervising children in the waiting area when parents or guardians are temporarily meeting with staff
  • Answer and transfer incoming phone calls appropriately
  • Perform light clerical duties including scanning, filing, copying, organizing paperwork, and administrative support tasks
  • Maintain front desk and waiting room organization throughout the day
  • Assist with basic office closing and tidying procedures as needed
  • Utilize Microsoft Outlook and internal systems for scheduling awareness and communication
  • Additional proprietary systems and databases will be trained onsite
