Experience with QuickBooks for basic bookkeeping tasks and managing office supplies will also be part of your duties.

Job Requirements

  • High school diploma or equivalent
  • Proven administrative or office experience
  • Proficiency with multi-line phone systems
  • Basic bookkeeping knowledge, preferably with QuickBooks
  • Excellent communication skills, both verbal and written
  • Strong organizational skills and attention to detail
  • Ability to multitask and manage time effectively

  • Excellent computer literacy with the ability to learn new software quickly
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong customer service skills with a friendly demeanor and professional phone etiquette
  • Experience with multi-line phone systems, data entry, filing, and calendar management preferred
  • Knowledge of medical or dental receptionist duties or personal assistant experience is a plus but not required
  • Ability to handle multiple tasks efficiently while demonstrating excellent time management skills

Job Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and professionalism
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office supplies
  • Assist with clerical duties including typing reports, organizing files, and supporting customer support activities
