Job Requirements
- High school diploma or equivalent
- Proven administrative or office experience
- Proficiency with multi-line phone systems
- Basic bookkeeping knowledge, preferably with QuickBooks
- Excellent communication skills, both verbal and written
- Strong organizational skills and attention to detail
- Ability to multitask and manage time effectively

- Proven office or administrative experience with strong organizational skills and attention to detail
- Excellent computer literacy with the ability to learn new software quickly
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong customer service skills with a friendly demeanor and professional phone etiquette
- Experience with multi-line phone systems, data entry, filing, and calendar management preferred
- Knowledge of medical or dental receptionist duties or personal assistant experience is a plus but not required
- Ability to handle multiple tasks efficiently while demonstrating excellent time management skills
Job Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with clarity and professionalism
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining office supplies
- Assist with clerical duties including typing reports, organizing files, and supporting customer support activities
