Job Requirements
- Education to high school diploma or equivalent
- previous experience in clerical or administrative roles preferred
- proficiency with Microsoft Office and Google Workspace
- excellent communication and interpersonal skills
- ability to manage multiple phone lines and handle front desk responsibilities
- strong organizational and time management skills
- ability to work in person and maintain a professional demeanor
- reliability and punctuality
- basic knowledge of bookkeeping or willingness to learn

Job Qualifications
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- experience with office management tasks including calendar management, filing systems, and data entry
- excellent phone etiquette with the ability to operate multi-line phone systems confidently
- bilingual abilities are highly desirable to serve diverse client needs effectively
- previous clerical or administrative experience in a professional setting is preferred
- knowledge of medical or dental receptionist duties is a plus but not required
- strong organizational skills with keen attention to detail and time management capabilities
- ability to handle multiple priorities efficiently while maintaining a positive attitude
- personal assistant experience or familiarity with bookkeeping tasks such as invoicing or basic bookkeeping using QuickBooks is advantageous
Job Duties
- Greet visitors warmly and professionally
- manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
- handle incoming correspondence including emails, mail, and packages with accuracy and timeliness
- maintain appointment calendars, schedule meetings, and coordinate conference room bookings using digital tools such as Google Workspace or Microsoft Office
- perform data entry, filing, and document proofreading to support administrative operations
- support office management tasks such as supply inventory checks, basic bookkeeping using QuickBooks or similar software, and maintaining organized records
- provide exceptional customer service by addressing inquiries politely and resolving issues promptly
